Operations Associate

Full-Time | On-Site


Phillips Financial is seeking a highly detail-oriented and tech-savvy Operations Associate to support our Operations and Portfolio Management teams. This is a hybrid role designed to strengthen our internal systems, streamline daily workflows, and provide operational continuity across the firm.


This position will work primarily alongside our Operations Manager (approximately 80% of responsibilities) and secondarily support our Investment Operations Lead (approximately 20%). The ideal candidate enjoys solving problems, working behind the scenes, improving systems, and taking ownership of structured, detail-driven work.


This role is ideal for someone early in their career who is analytical, dependable, and eager to grow in financial services operations and technology.


Position Overview

The Operations Associate will:

โ€ข Provide internal technology and system support

โ€ข Assist with Salesforce/Practifi data management and reporting

โ€ข Support new account setup and portfolio operations functions

โ€ข Serve as backup coverage for critical operational tasks

โ€ข Help build and maintain internal processes and automation

โ€ข Step in as flexible operational support during team absences


Core Responsibilities


Operations & Technology Support (Primary Focus โ€“ ~80%)


โ€ข Assist with Salesforce / Practifi data management

o Data cleanup and maintenance

o Building and updating reports

o Creating dashboards

o Performing data uploads

o Supporting basic process buildouts

โ€ข Provide internal technology troubleshooting and support

โ€ข Support workflow automation tools (Zapier, Jump, etc.)

โ€ข Assist with document management systems (Box / NetDocs)

โ€ข Serve as liaison support for IT-related items with our managed service provider

โ€ข Assist with employee onboarding and offboarding tasks (technology setup, access provisioning, documentation updates)

โ€ข Maintain data integrity and consistency across firm systems

โ€ข Identify inefficiencies and proactively suggest process improvements


Portfolio Operations Support (Secondary Focus โ€“ ~20%)


Our Portfolio Management team will provide training on:

โ€ข Monitoring portfolio management platformsย 

โ€ข Trade support


Flexible Support (As Capacity Allows)


If bandwidth permits, this role may:

โ€ข Assist with process documentation

โ€ข Help standardize operational workflows

โ€ข Support internal reporting initiatives

Compensation

โ€ข Compensation will be based on the experience level and skills of the candidate and includes salary and a bonus based on both individual and firm performance.ย ย
