What does a client integration manager do?

A Client Integration Manager is responsible for overseeing the seamless onboarding and integration of new clients into a company’s systems, processes, or services. They act as the primary point of contact between the client and internal teams, ensuring all technical and operational requirements are met. Their duties often include project management, troubleshooting issues, coordinating with various departments, and providing ongoing support to ensure client satisfaction and successful integration.

What are some common challenges a client integration manager faces during the onboarding process?

Client Integration Managers often navigate complex technical requirements and diverse client expectations during onboarding. A key challenge is ensuring seamless communication between internal teams (like development and support) and the client's stakeholders to address integration needs and troubleshoot issues efficiently. They must also coordinate project timelines and manage multiple integrations simultaneously, balancing customization requests with standardized best practices. Building strong client relationships and proactively addressing potential roadblocks are essential to a successful integration process.

What are the key skills and qualifications needed to thrive as a client integration manager, and why are they important?

To thrive as a Client Integration Manager, you need expertise in project management, client onboarding processes, and a solid understanding of business systems, often supported by a bachelor’s degree in business or a related field. Familiarity with integration platforms, CRM tools, and data mapping software, along with relevant certifications like PMP or ITIL, is typically required. Strong communication, problem-solving, and relationship-building skills help foster client satisfaction and drive successful implementations. These competencies ensure seamless client integrations, efficient project delivery, and long-term client partnerships.

Department: Revenue Cycle Management (RCM)
Reports To: VP, RCM Services
Location: Remote
Employment Type: Full-Time
Position Summary
The RCM Client Integration Specialist is responsible for coordinating and supporting the successful onboarding of new Revenue Cycle Management clients post contract execution through go-live and stabilization. This role serves as a key liaison between the client, RCM leadership, operations, IT/integration teams, training, and other internal departments to ensure all implementation activities are completed accurately, timely, and according to established milestones.
The Client Integration Specialist will manage detailed onboarding plans, track deliverables and dependencies, facilitate communication across teams, identify risks and barriers, and ensure the client is prepared for a successful transition to MedHQ's ongoing RCM operations.
Following go-live, this position will provide structured 30-, 60-, and 90-day post-go-live support, monitoring workflows, performance, staffing, reporting, and client concerns before transitioning the account to the ongoing Client Success and RCM Operations teams.
Key Responsibilities
Client Onboarding & Implementation
  • Coordinate the end-to-end onboarding process for new RCM clients from post contract execution through operational handoff.
  • Develop and maintain detailed client-specific implementation timelines, checklists, and project trackers.
  • Coordinate implementation activities across RCM Operations, Coding, Billing, AR, Payment Posting, Credentialing, IT, Data Analytics, HR, Training, and Client Success.
  • Establish key milestones, dependencies, owners, and due dates for each implementation.
  • Ensure all required client information, documentation, system access, payer information, workflows, reports, and operational requirements are identified and collected.
  • Coordinate system access, user setup, testing, training, and workflow validation.
  • Assist with developing and documenting client-specific workflows and standard operating procedures.
  • Coordinate testing and validation prior to go-live and ensure identified issues are resolved or have documented mitigation plans.
  • Maintain visibility into implementation readiness and communicate status to leadership.
Client Communication
  • Serve as a primary implementation contact for designated clients.
  • Schedule and facilitate recurring implementation meetings and maintain meeting agendas, action items, and follow-up.
  • Communicate project status, upcoming milestones, outstanding items, risks, and decisions to appropriate stakeholders.
  • Build strong working relationships with client contacts and internal teams.
  • Help establish clear expectations regarding responsibilities, timelines, workflows, and communication channels.
  • Escalate issues appropriately when timelines, quality, client expectations, or go-live readiness are at risk.
Go-Live & Stabilization
  • Coordinate go-live readiness activities to include mock go-live and ensure all critical requirements have been completed.
  • Develop and maintain a go-live checklist and readiness assessment.
  • Monitor daily activities during the initial go-live period and coordinate resolution of issues.
  • Track coding, billing, payment posting, AR, charge entry, denials, reporting, and other applicable RCM workflows during stabilization.
  • Identify workflow gaps, training needs, staffing concerns, and system issues impacting performance.
  • Coordinate post-go-live meetings and maintain an issue/action log until stabilization is achieved.
  • Partner with RCM leadership to determine when the client is ready for transition to ongoing operations.
30/60/90-Day Transition
  • Manage the structured 30-, 60-, and 90-day post-go-live review process.
  • Monitor implementation performance against established goals and expectations.
  • Coordinate collection and review of operational metrics and client feedback.
  • Identify trends, recurring issues, process gaps, and opportunities for improvement.
  • Ensure outstanding implementation items are resolved or appropriately transitioned to the responsible team.
  • Prepare a comprehensive handoff to the Client Success Manager and RCM Operations team.
  • Ensure all client-specific workflows, contacts, reporting requirements, open issues, and lessons learned are documented before final handoff.
Project Management & Documentation
  • Maintain accurate and current implementation trackers and project documentation.
  • Develop status reports and communicate progress to RCM leadership.
  • Maintain centralized documentation of client requirements, decisions, workflows, and open items.
  • Track project risks, issues, dependencies, and changes.
  • Ensure deadlines are clearly communicated and followed up on.
  • Identify opportunities to improve the client onboarding process and standardize implementation practices.
  • Assist in developing templates, checklists, workflows, and other tools to improve implementation efficiency.

Required Qualifications
