Job Description:
Clerk V, Enrollment Specialist, Admissions and Enrollment Management
Grade 15, AFSCME Unit position, 37.5 hours/week
Campus Location: Lynn Campus
Work Schedule: Monday - Friday, 9:00 am -5:00 pm
SALARY: $2,110.33 biweekly, ($54,868.58 per year) with fringe benefits. An appointment made from outside the bargaining unit (AFSCME) must start at this salary, step #1 of the range or as adjusted in accordance with the AFSCME collective bargaining agreement. GENERAL STATEMENT OF DUTIES:
This individual will assist students with the admissions, enrollment, and financial service processes. The primary responsibility of this position is to provide all facets of customer service related to the work that is done in the One Stop Centers. This individual will interact with students, the public and members of the NSCC community as a representative of the division and the College.
ESSENTIAL FUNCTIONS:
  1. Provide customer service to students and parents by phone, in person, via email, and virtually via Centro Hub, by answering questions and advising customers on all aspects of student services
  2. Maintaining customer flow for appointments and walk in services. May provide general information with the onboarding process.
  3. Assist prospective students with the application process and the creation of new online applications for admissions.
  4. Monitor and respond daily to correspondence received on department/divisional e-mail accounts and voicemail inboxes.
  5. Provide clerical assistance to staff, including coordinating mailings, tracking documents, copying, faxing, information packet compilation and mail distribution.
  6. Collects and processes documents such as change of program forms, registration forms, withdrawals, waiver requests, enrollment verifications, financial aid documents, transcript requests, name changes, etc.
  7. Assist students with registering for credit and noncredit classes.
  8. Scans and indexes student records.
  9. Processes admissions applications including uploading required documents, determining if the student has met all requirements for acceptance on the general application, and confirming that proficiency has been met.
  10. Conducts SAT downloads of data into the Client Relationship Management software (CRM).
  11. Cleans up discrepancy reports as needed for data integrity.
  12. Conduct prospective student tours of the campus.
  13. Maintain a basic knowledge of federal, state, and local Financial Aid and Student Accounts related policies and procedures.
  14. Process student payments, inclusive from receiving payment to reconciling cashier sessions.
  15. Provide students with accurate and appropriate information about the billing process and their student account activity.
  16. Assist students with the use of MyNorthshore student portal, and EAB Navigate to access their individual information, setting up eRefund or payment plans, making online payments, and appointment requests.
  17. Utilize the College's database system (Banner), and Navigate for all pertinent data entry and processing functions.
  18. Assist in outgoing call campaigns; deadline reminders, collection outreach and other notifications as necessary.
  19. May be required to occasionally work evening and weekend events, and report to other campuses if coverage is needed.
  20. Will be expected to work the Welcome Desk to assist students with the sign in process of the Student Success Center.
  21. May assist with training, supervising and managing student employees.
  22. Perform other duties as required or assigned by managers within Enrollment Services.

Requirements:
  • An Associate's degree with a minimum of 2 years of related work experience in an enrollment services office position or the equivalent combination of education and experience.
  • Experience with student/client information systems (Banner system preferred).
  • Proficiency in Microsoft Office Suite and data entry required: Excel, Word and Access.
  • Excellent customer service, interpersonal communication, preferable in a multicultural work setting.
  • Demonstrated ability to interact with students and outside agencies to resolve problems.
  • Must have the ability to prioritize multiple projects and work independently with minimal supervision in a multitask environment.
  • Experience interacting with culturally diverse populations.
  • Work with remote technology such as Google Drive, Google Calendar, Navigate, Zoom, Google Meets, etc.
  • Ability to occasionally travel between campuses as necessary.
  • Candidates will be required to pass a CORI/SORI and/or a national background check as a condition of employment.
PREFERRED QUALIFICATIONS:
  • Strong knowledge of the community college system working with individuals of diverse backgrounds.
  • Strong customer service skills and ability to multitask
  • Strong technology skills and knowledge of various technological systems such as Customer Relationship Management and Student Information Systems.
  • Bilingual Spanish is preferred.
