THE POSITION

Join the Department of Human Services (DHS) at the Ebensburg Center as a Clerical Assistant 3 and make a meaningful impact each day. In this role, you help coordinate staffing, maintain essential documents, and support a large residential facility that operates around the clock. Your attention to detail and ability to manage complex information will strengthen daily operations for staff and supervisors. DESCRIPTION OF WORK

This position supports the Centralized Scheduling Office by managing staffing details, maintaining accurate records, and assisting with daily coordination needs across all residential units. As a Clerical Assistant 3, you will perform the following duties:

  • Staff Scheduling: Coordinate state and contracted staff schedules across all shifts in a residential facility operating every day of the year
  • Record Management: Maintain accurate logs, reports, overtime records, and time and attendance documentation
  • Communication Support: Share schedule updates with units and respond to staffing issues as they arise
  • Leave Processing: Conduct vacation selection periods, complete documentation, and manage seniority based scheduling details
  • Overtime Coordination: Apply overtime rules, track restrictions, and follow required procedures for voluntary and mandatory overtime
  • Clerical Oversight: Assist with assigning work, reviewing tasks for accuracy, and training staff on office processes

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 10:30 PM to 6:30 AM, Wednesday - Sunday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Other Requirements:

  • You must be able to perform essential job functions.

Legal Requirements:

  • A conditional offer of employment will require a medical examination.
  • This position falls under the provisions of the Older Adult Protective Services Act.
    • Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
