Clerical Assistant 3

Join the Department of State as a Clerical Assistant 3 and help keep vital licensing services running smoothly. Your work will support applicants and licensing boards across Pennsylvania. This position supports the review and processing of licensure applications within the Bureau of Professional and Occupational Affairs Boards. The role helps maintain accurate records, ensure compliance with regulations, and assist applicants throughout the licensure process. As a Clerical Assistant 3, you will perform the following duties:

  • Application Review: Examine applications to determine eligibility for licensure, renewal, and reactivation
  • Data Validation: Evaluate application information to confirm accuracy, completeness, and required documentation
  • Communication Support: Respond to inbound and outbound phone calls and provide licensure information to the public
  • Inspection Coordination: Determine inspection needs and ensure requests are submitted to the Bureau of Enforcement and Investigation
  • Record Verification: Research licensure records and prepare certification documents and letters of good standing
  • License Processing: Issue licenses for applicants who have met all requirements and passed inspection when required

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with a 60-minute lunch.
  • Work hours are negotiable. This position may be eligible for alternate work schedule (AWS) after a six-month probationary period.
  • Telework: You may have the opportunity to work from home (telework) part-time, up to 5 days per pay period after probationary period. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: In some cases, the starting salary may be non-negotiable.

Qualifications

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.
