Position: Kids Operations Coordinator 

Reports to: Kids Ministry Pastor

FLSA Status: Non-Exempt

Job Status: Part-Time (24 Hours Per Week)


Position Summary

The Kids Operations Coordinator provides operational, administrative, and communication leadership for the Bayside Kids Ministry. This role ensures that ministry systems, events, registrations, communication, and weekly operations are organized, effective, and aligned with the mission of Bayside Church.

The Operations Coordinator serves as a key member of the Bayside Kids team by creating systems, managing details, supporting volunteers, new and existing families and helping staff focus on ministry leadership and discipleship. This individual is highly organized, relational, proactive, and passionate about creating environments where children, families, volunteers, and leaders can thrive.


General Responsibilities


Ministry Operations

  • Coordinate the day-to-day administrative and operational functions of Bayside Kids.
  • Maintain ministry events calendars, registration, event tickets, web events and Special Event Rock scheduling 
  • Assist with the implementation of ministry systems that improve efficiency and organization.

Events & Registrations

  • Create and manage registrations for camps, classes, baptisms, child dedications, volunteer trainings, and special events.
  • Submit and coordinate event, room, communication, and resource requests through church systems.
  • Assist with planning logistics, timelines, and execution of ministry events.
  • Ensure accurate registration tracking and attendee communication.

Communication

  • Draft and distribute communication to families, volunteers, and ministry leaders.
  • Support weekly email campaigns, ministry updates, reminders, and event promotions.
  • Maintain accurate contact databases and communication lists.
  • Respond promptly and professionally to ministry-related inquiries.

Reporting & Data Management

  • Generate weekly and monthly ministry reports including attendance, volunteer engagement, registrations, and event participation.
  • Maintain accurate records within Rock RMS and other ministry platforms.
  • Track key ministry metrics and provide reports to Kids Ministry leadership.
  • Maintain ministry digital resources, subscriptions, and shared accounts.

Weekend Ministry Support

  • Participate in Sunday morning ministry operations and family engagement.
  • Support key Kids Ministry events throughout the year.
  • Attend staff meetings, planning meetings, and leadership development opportunities as requested.

Other Responsibilities

  • Support the overall vision and direction of Bayside Kids.
  • Assist with additional ministry projects and assignments as directed by the Kids Ministry Pastor.

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred. 
  • Two or more years of administrative, operations, project coordination, or ministry support experience preferred.

Physical Requirements

  • Ability to move throughout the campus for extended periods during weekend services and ministry events. 
  • Ability to lift and carry up to 25 pounds. 
  • Ability to set up and organize ministry materials, supplies, and event resources.

Time Commitment

  • Part-Time, Saturday evening and Sunday morning availability required.
  • Flexible weekday schedule coordinated with supervisor.
  • Up to one approved remote workday per week.
  • Occasional evening meetings, ministry events, and leadership gatherings may be required.
