Church of the Visitation is seeking an Office Manager.
The Office Manager is a new position that oversees and administers the operational and financial activities of the Church of the Visitation in accordance with the mission and vision of the Parish and the norms of the Diocese of Richmond. This role is the primary point of contact and support for the Pastor, ministry leaders, church volunteers and our growing parish family.
Essential Duties and Responsibilities
  • Foster meaningful relationships with parishioners and encourage participation in church events.
  • Maintain operational and sacramental databases, files and records.
  • Oversee preparation and production of the weekly bulletin and other church communications.
  • Identify, coordinate and evaluate vendor services.
  • Answer and direct incoming office, phone and email inquiries.
  • Maintain parish calendar and support the Pastor, ministry leaders and others as requested
  • Forward Pastor-approved invoices, reimbursements and other payments to the Bookkeeper for processing and entry into ParishSoft accounting systems.
  • Prepare payroll and submit to diocese and bookkeeper.
  • Process parish collections, donations, grants and other income for deposit and submit to Bookkeeper for entry into ParishSoft accounting systems.
  • Prepare grant applications, required reports and distribute annual giving statements
  • In consultation with the Facilities Manager, oversee facility maintenance and improvements for the church, rectory, and grounds and identify needs for annual and long-term budgeting.

Requirements
Qualifications
  • Practicing Roman Catholic in good standing and committed to the teachings of the Church.
  • Demonstrated leadership, organization, communication and people skills.
  • Strong computer skills working with Word, Excel, Canva, Windows and Outlook.
  • Ability to work collaboratively with the Pastor, parish volunteers and sister-parish staff.
  • Batchelor's degree and minimum of five years of experience in people-oriented roles.

Work Schedule
  • Routinely requires three seven hour days per week in the parish office
  • Ability to flex time and location for specific needs
