Job description

The position of Executive Assistant is a very key and essential position within the organization. All Nations Worship Assembly is looking for a responsible, detail-oriented Executive Assistant that can support our Assistant Pastor/Chief Ministries Officer in a timely and professional manner.

The Executive Assistant will be responsible for performing high-quality administrative responsibilities that include but are not limited to: scheduling, assisting in project management, internal and external communications, volunteerism, and special services that create and maintain favorable results for All Nations Worship Assembly and its initiatives. To be successful in this role, the candidate should be proactive, meet deadlines and communicate effectively.

An ideal candidate for this job has had experience supporting other senior-level managers and other duties that include conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondences, receiving visitors, arranging conference calls, and other duties as necessary.

Position-specific Responsibilities
โ€ข Manages project plans of the Executive office.
โ€ข Creates, shares, and update project plans and communicates status to executives and other

Leaders as appropriate.
โ€ข Coordinates and collaborates with cross-departmental and ministry teams.
โ€ข Daily fielding of scheduled and unscheduled visitors (when onsite).
โ€ข Daily checking & responding to ministry e-mail.
โ€ข Weekly submission of expense reports and requisitions.
โ€ข Researching & ordering of supplies needed for ministry.
โ€ข Maintain meeting notes and actionable items required of the Assistant Pastor/Chief Ministries Officer.
โ€ข Observe, anticipate and report needs of Assistant Pastor/Chief Ministries Officer whenever possible.
โ€ข Assist in maintaining the integrity of all organization protocols
โ€ข Creates and prepares materials for various meetings as called by the Assistant Pastor/Chief Ministries Officer
โ€ข Greets and screens callers and visitors and directs them to the appropriate person or area.
โ€ข Coordinates daily schedule and facilitates communication between departments and Colleagues.
โ€ข Analyze incoming memos, and reports to determine their significance and plan their distribution

Education and/or Experience
Bachelorโ€™s degree or five years or more of related experience and/or training; or equivalent combination of education and experience.
