Summary:

The Executive Assistant to the President/CEO provides high level administrative support to senior leadership, ensuring efficient day to day operations and acting as a key point of coordination across the organization. This role is responsible for managing and maintaining official records for CDS Life Transitions, CDS Monarch, and the CDS Wolf Foundation, including all program operations and Board of Directors activities. This role supports meetings, prepares documentation, and handles confidential information with discretion.

Essential Job Functions:

• Directly coordinate all Board of Directors meetings and activities for CDS Life Transitions, CDS Monarch, and the Wolf Foundation.

• Coordinate and support Board of Directors meetings, including developing agendas, preparing materials, and recording minutes.

• Coordinate, prepare, and document executive-level meetings such as the CDSLT Scorecard Review, Executive Staff Meetings, Leadership Team Meetings, and other sessions as requested

• Manage CEO credit card reconciliation by tracking receipts and processing monthly statements in TravelBank.

• Perform and maintain all administrative record keeping functions required to support agency operations.

• Provide phone coverage and assist with calls to the Executive Office.

• Maintain strict confidentiality of all sensitive information.

• Collect, scan, and process incoming mail.

• Perform additional duties relevant to the role as assigned.

Knowledge, Skills, and Abilities

• Strong organizational, time management, and multitasking skills.

• Excellent written and verbal communication abilities.

• Ability to capture and type detailed and professional meeting notes within 2 business days of meetings.

• Excellent typing skills with 50 WPM plus computer skills

• Proficiency with office software and productivity tools.

• Ability to maintain confidentiality and exercise sound judgment.

• Professional demeanor and strong interpersonal skills.

Education and Experience:

• Associates degree in Business Administration, Office Management, communications or a related field (minimum)

• Bachelor’s Degree preferred, especially for roles supporting c-suite executives

• Equivalent work experience may be accepted in place of formal education.

Physical Requirements/Working Conditions:

• Sedentary working environment

• Ability to work independently
