SUMMARY

The primary responsibility the Executive Administrative Assistant is to provide high-level administrative support to the Senior Associate Pastor, ensuring their workflow is efficient and their time is focused on critical ministry priorities. This role acts as a proactive partner in calendar management, project tracking, and daily scheduling, while serving as a welcoming host for individuals coming in for interviews as well as daily meetings. The position requires strong organizational skills to keep leadership updated on key priorities and collaborating with the Lead Team administrative team to maintain consistency and community.

SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES

    Calendar and Scheduling

    • Manage all aspects of calendar scheduling for the Senior Associate Pastor.
    • Prioritize and schedule meetings based on seasonal priorities and ministry rhythms.
    • Oversee and coordinate the scheduling and hosting of meetings in the upstairs and main conference rooms.

    Project and Communication Management

    • Partner with the One Church Leadership Team to track projects in Monday.com for visibility, momentum, and coaching opportunities.
    • Maintain awareness of all active projects and upcoming deliverables.
    • Keep the Elders updated on key priorities through regular communication with the Senior Pastor and his Executive Administrative Assistant.
    • Anticipate needs and proactively work ahead of the Senior Associate Pastor on upcoming steps and initiatives.

    Hosting and Meeting Coordination

    • Host daily meetings, ensuring hospitality, readiness, and efficiency.
    • Welcome and host candidates during interviews, representing the Church with professionalism and warmth.
    • Facilitate and assist with meeting logistics (space prep, materials, follow-up, etc.).

    Metrics and Reporting

    • Track and maintain all relevant metrics for performance, understanding, and progress updates.
    • Provide periodic reports or updates to ensure alignment across teams.

    Team Collaboration

    • Meet regularly with the One Church Leadership Team administrative group to foster community, ensure consistency, and support shared goals.

    SUPERVISORY RESPONSIBILITIES

    Works with Servant Leaders.

    QUALIFICATIONS

    EDUCATION AND/OR EXPERIENCE

    Bachelor's degree preferred. Fifteen to twenty years of administrative experience minimum for competitive candidates. Applicable experience may substitute for portions of the educational framework.

    LANGUAGE SKILLS

    The individual must be able to understand written or oral instructions; read, analyze, and interpret documents, instructions manuals, and policies and procedures. Excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, email and in person, demonstrating tact and diplomacy.

    COMPUTER AND MATHEMATICAL SKILLS

    The individual must have demonstrated skill in the use of Windows/MacOS to complete tasks, including word processing and spreadsheets and the ability to use the internet for information retrieval. The individual must have basic mathematical skills, knowledge of bookkeeping and basic accounting, and budget and expense monitoring. The individual must have the ability to read financial information and spreadsheets.

    REASONING ABILITY

    The ability to simultaneously conceptualize and plan multiple tasks; project outcomes using different implementation strategies; and apply creative and innovative thinking to problem situations is required. The ability to work effectively and efficiently under stressful conditions to ensure deadlines are met is essential.
