For our client in Toronto -based which is a trusted, licensed Ontario general contractor specializing in construction, renovations, and project management across industrial, commercial, institutional, and residential.

We are seeking a driven and experienced Project Coordinator to support the successful delivery of Industrial, Commercial, and Institutional (ICI) construction projects. This role is critical in ensuring seamless project execution, effective communication across all stakeholders, and adherence to budgets, timelines, and regulatory standards.

Job Title: Project Coordinator
Location: Greater Toronto Area (GTA)
Employment Type: Full-Time
Industry: General Contractors / Construction Management

Key Responsibilities:

  • Coordinate and organize project start-up documentation (Ministry of Labour forms, bonding, insurance, utility locates, site binders, etc.).
  • Manage internal and external project communication: schedule meetings, handle correspondence, and distribute documentation.
  • Participate in project meetings (weekly/bi-weekly) and accurately record and distribute meeting minutes.
  • Track and distribute essential project documentation including RFIs, site instructions, change orders, and progress reports.
  • Prepare and manage subcontracts, purchase orders, and change orders in collaboration with the Project Manager.
  • Oversee the submission and review process of shop drawings and submittals to ensure timely approvals.
  • Support tendering processes: assist with contract preparation, track vendor inquiries, and follow up on pricing requests.
  • Maintain regular communication with clients, vendors, subcontractors, and internal teams to ensure alignment and smooth operations.
  • Post project budget data and help track job costing.
  • Assist with project close-out: compile necessary documentation and certifications (e.g., Substantial Completion, final checklists).

Qualifications & Skills:

  • 3+ years of experience in project coordination or related roles, specifically within ICI construction projects.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Knowledge of construction project documentation, terminology, and regulatory compliance.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite; experience with project management software is a plus.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Health & safety awareness and understanding of documentation requirements.
  • Proficiency in:
    • PlanSwift
    • Autodesk
    • AutoCAD

Education & Certifications:

  • Diploma or degree in Construction Management, Civil Engineering, or a related field.
  • IICRC Certification (WRT, FSRT, AMRT) is an asset
