CAD Industries ferroviaires est une société québécoise ambitieuse, en activités depuis plus de 60 ans, spécialisée dans la réparation, la conversion et le reconditionnement d’équipements ferroviaires roulant (wagons et locomotives en tous genres) qui avons des ateliers et bureaux à Montréal (secteur Lachine) et en Alberta (sous la bannière Caltrax).


Au fil des ans, notre mission s’est précisée afin de devenir une entreprise responsable qui cherche notamment à réparer et prolonger la vie des équipements dont nos clients nous confient les travaux ou encore, dans plusieurs situations, de les moderniser et leur donner littéralement une 2ème vie.


Dans leurs projets, nos équipes voient donc à designer des équipements qui répondront aux besoins de ces mêmes clients qui œuvrent autant du coté marchandise que passagers.


Résumé du poste:

L’adjoint(e) administratif(ive) exécutif(ive) auprès de la haute direction (C‑Suite) fournit un soutien stratégique, sophistiqué et à forte valeur ajoutée à l’équipe de gestion (PDG, DAF, DAA, VP Programmes, VP Exploitation, VP Développement des affaires). Agissant à titre de partenaire de confiance et de prolongement de l’équipe de direction, ce rôle dépasse les fonctions administratives traditionnelles et contribue directement à l’efficacité des dirigeant(e)s grâce à une coordination stratégique, un jugement sûr et une exécution proactive.


Principales responsabilités:

Gestion du temps et des priorités des dirigeant(e)s

  • Gérer et optimiser des calendriers exécutifs complexes, en conciliant des priorités concurrentes et des fuseaux horaires multiples. Agir comme gardien(ne) stratégique afin de protéger les plages de concentration clé et d’assurer l’alignement avec les objectifs organisationnels.

Communications stratégiques et gestion des parties prenantes

  • Gérer avec rigueur et discrétion la correspondance exécutive, y compris la rédaction de communications de haut niveau. Agir à titre d’intermédiaire clé entre les dirigeant(e)s, les membres du conseil d’administration et les parties prenantes internes et externes.

Voyages et logistique exécutive

  • Planifier et coordonner des déplacements nationaux et internationaux complexes, en assurant efficacité, rentabilité et une expérience sans faille pour les dirigeant(e)s.

Soutien aux conseils d’administration et aux réunions de direction

  • Coordonner les réunions du conseil d’administration et de la haute direction, incluant l’élaboration des ordres du jour, la préparation des documents de présentation, des présentations exécutives et le suivi des actions requises.

Soutien aux projets et aux opérations

  • Piloter et soutenir des projets spéciaux au nom de l’équipe de direction, effectuer le suivi des livrables, assurer la reddition de comptes et contribuer à la réalisation complète des initiatives.


Qualifications requises:

Expérience

  • Minimum de 5 ans d’expérience dans le soutien à des cadres supérieurs au sein d’un environnement complexe et en évolution rapide.

Discrétion et jugement

  • Capacité démontrée à gérer des informations hautement confidentielles et sensibles avec professionnalisme et discernement.

Sens des affaires

  • Solide compréhension des priorités organisationnelles et des dynamiques décisionnelles au niveau exécutif.

Compétences technologiques

  • Maîtrise avancée de la suite Microsoft Office, de Google Workspace et des outils de gestion de projets (ex. : Asana, Salesforce).

Exécution proactive

  • Capacité à anticiper les besoins, à atténuer les risques et à résoudre les enjeux avant qu’ils ne s’intensifient.

Job Summary:

The Executive Administrative Assistant (EA) to the C-Suite provides sophisticated, high-impact support to the Senior Management Team (CEO, CFO, CAO, VP Programs, VP Operations, VP Business Development), operating as a trusted partner and extension of leadership. This role goes beyond traditional administrative functions, enabling executive effectiveness through strategic coordination, sound judgment, and proactive execution.


Main Responsibilities:

Executive Time & Priority Management

  • Own and optimize complex executive calendars, balancing competing priorities across multiple time zones. Act as a strategic gatekeeper to protect focus time and ensure alignment with organizational objectives.

Strategic Communication & Stakeholder Management

  • Manage executive correspondence with precision and discretion, including drafting high-level communications. Serve as a key liaison between executives, Board members, and internal/external stakeholders.

Travel & Executive Logistics

  • Plan and execute detailed domestic and international travel arrangements, ensuring efficiency, cost-effectiveness, and a seamless executive experience.

Board & Meeting Leadership Support

  • Coordinate Board and executive-level meetings, including agenda development, preparation of briefing materials, presentations, and follow-up on action items.

Project & Operational Support

  • Lead and support special projects on behalf of the executive team, tracking deliverables, ensuring accountability, and driving initiatives to completion.
