Job description

Essential Job Functions:

Provides administrative assistance to committees for high-level events and speakers, specifically Five O'clock Hour Committee and Book Review Committee, Forum Committee and Gold Seminar Co-Chairs.

Schedules Lecture Series events, committee meetings, and corresponding dinners in conjunction with the catering managers, committees, and staff assistants to the scheduled speakers.

Manages RSVPs for dinner parties and reservations and prepares corresponding stationery for each event.

Prepares, maintains, and updates promotional materials for Lecture Series events on the Golf Club digital board and the Club's website.

Designs, prints, and mails Lecture Series materials, including promotional materials and event programs, in coordination with the Communications team.

Attends committee meetings with the Director of Catering & Activities. Records meeting minutes, summarizes and submits for approval or edits. Distributes minutes.

Communicates with committee co-chairs regularly and prepares pre-approved documents.

Greets and assists members and visitors that call or drop-in to the Catering Office.

Answers phone calls and transfers to appropriate Catering staff or other club departments, takes detailed messages

Prepares correspondence, reports, budgets and other documents. Transcribes dictation, often of a technical and/or confidential nature.

Files correspondence, reports and other documents according to established procedures.
