Job Summary
Join a dynamic, high-volume café and catering operation generating significant on-site and corporate business. As a Catering Coordinator, you’ll play a key role in bringing events to life, from initial inquiry through execution, supporting both drop-off catering and full-service corporate events.
 
Located in San Francisco’s Financial District, 555 Mission is a dynamic corporate dining and catering destination supporting a high-volume café and a robust, fast-paced catering program. The team delivers thoughtful, high-quality hospitality experiences across daily service and corporate events, with a focus on collaboration, efficiency, and client experience.
 
This role blends coordination, client engagement, and operational support. You’ll collaborate across teams to ensure events are organized, accurate, and thoughtfully delivered, contributing to an environment where both clients and team members feel supported and set up for success.
 
Key Responsibilities
  • Coordinate all catering event logistics from inquiry through execution
  • Maintain and update event details in reservation systems (inquiries, tentatives, confirmed events)
  • Prepare detailed event materials, including:
    • Function sheets
    • Captain’s packets (staffing, equipment, beverage, and signage needs)
    • Event signage and menus
  • Serve as a liaison across teams, ensuring accurate communication between operations, clients, and vendors
  • Support catering sales through proposal preparation, research, and client follow-up
  • Assist with walkthroughs and provide on-site support during events as needed
  • Manage administrative processes, including:
    • Event files and documentation
    • Deposits, invoicing, and financial tracking
    • Certificates of insurance
  • Partner with marketing on promotions, materials, and outreach efforts
  • Help coordinate staffing requests and event scheduling
  • Contribute to a smooth and organized catering operation through strong attention to detail

What We’re Looking For

  • Background in catering, events, or food service operations (restaurants, corporate dining, hotels, or similar environments)
  • Comfort managing multiple priorities in a fast-paced, high-volume setting
  • Familiarity with catering platforms (e.g., ezCater, Uber Catering, DoorDash) is a plus
  • Experience supporting both front-of-house and back-of-house operations is helpful
  • Strong organizational and administrative skills
  • Clear and professional communication with clients, vendors, and internal teams
  • A team-oriented approach with a willingness to support across functions
  • Attention to detail and commitment to accuracy
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience with catering/event software (e.g., Reserve Cloud) is a plus
