Job Description:

We are looking for a detail-oriented and proactive Project Management Associate to support the planning, coordination, and execution of projects. In this role, you will work closely with project managers and cross-functional teams to ensure that project timelines, deliverables, and documentation are maintained accurately and efficiently.

As a key support role, youll assist in tracking progress, preparing reports, coordinating meetings, and following up on action items to help keep complex machine builds on schedule. This is a great opportunity for someone early in their project management career who is eager to learn, contribute, and grow within a fast-paced manufacturing environment.

Job Duties & Responsibilities:

KRA # 1 Project Coordination & Support

  • Assist in creating and maintaining project schedules, timelines, and task trackers
  • Monitor project progress and update internal systems with key milestones and changes
  • Support the project team in maintaining alignment between departments on deliverables
  • Track key action items and follow up with stakeholders to ensure timely completion
  • Prepare and distribute meeting agendas, notes, and updates

KRA # 2 Documentation & Reporting

  • Organize and maintain project files, including contracts, change orders, and technical drawings
  • Help compile progress reports, status updates, and dashboard summaries for internal and client use
  • Ensure all documentation meets internal quality and compliance standards
  • Support version control and documentation accuracy throughout the project lifecycle
  • Assist in preparing materials for factory acceptance tests (FATs) and site reports

KRA # 3 Communication & Stakeholder Support

  • Facilitate clear communication between internal teams and external stakeholders
  • Schedule and coordinate project meetings, calls, and reviews with customers and vendors
  • Ensure prompt communication of project changes, updates, or concerns to the appropriate team members
  • Support customer service teams in responding to project-related inquiries

KRA # 4 Procurement & Logistics Coordination

  • Assist with tracking parts and materials related to project timelines
  • Coordinate with the purchasing and inventory teams to monitor availability and delivery of components
  • Help prepare packing lists and shipping documentation for outgoing machines or assemblies
  • Follow up with vendors and suppliers to confirm order status or resolve delays

KRA # 5 Continuous Improvement & Learning

  • Identify opportunities to improve project processes and documentation practices
  • Participate in project close-out and lessons-learned activities
  • Stay informed on basic project management principles and tools
  • Support implementation of new systems, templates, or software as directed

Qualifications:

  • Basic understanding of manufacturing processes or capital equipment projects
  • Proficiency in MS Office (Excel, Word, Outlook)
