Job description


Litigation Legal Administrator


·         Manage and coordinate attorney calendars, including appointments, meetings, court appearances, and travel arrangements.

·         Provide general administrative support, including answering phones, greeting clients, and handling incoming and outgoing mail.

·         Serve as backup support for other legal administrative assistants on the team, as needed.

·         Perform other role-specific duties as assigned.

Document Preparation and Case Management

·         Prepare, proofread, and format legal documents, correspondence, and reports with accuracy and attention to detail.

·         Assist with the preparation of pleadings, e-filings, motions, and other legal correspondence, ensuring accuracy and adherence to legal procedures.

·         Support attorneys with case management, including organizing and maintaining case files.

·         Maintain electronic and physical filing systems so documents are organized, accurate, and easily accessible.

Billing and Client Support

·         Assist with billing and invoicing processes, including time entry and responses to client billing inquiries.

·         Maintain a high standard of client service in all communications and administrative interactions.

Qualifications

·         Minimum of four years of experience supporting a litigation practice.

·         Strong organizational skills, with the ability to prioritize work and manage multiple deadlines effectively.

·         Excellent written and verbal communication skills, with strong attention to detail.

·         Strong client service skills and a professional, service-oriented approach.

·         Advanced computer skills, including experience with Microsoft Office (Word, Outlook, Excel, and PowerPoint), Kofax Power PDF or a similar PDF program, BigHand Create and Hyperstyles or comparable styles and templates software, and NetDocs.

·         Willingness and ability to learn new technologies.

·         Ability to maintain confidentiality and handle sensitive information with discretion.
