About the team and position
The Warranty Administration Lead owns the back-office warranty claims process across all 7 of our dealership sites. This critical role is responsible for submitting warranty claims to OEMs, tracking claim status through approval, managing denied or rejected claims through resubmission, and ensuring all warranty documentation meets strict OEM compliance requirements.
What you'll be doing
  • Claims Management: Submit warranty claims accurately and on time to OEMs, primarily Stellantis, across all 7 dealership sites.
  • Lifecycle Tracking: Track claim status through the full operational lifecycle-including submission, review, approval, and ultimate payment.
  • Denial Mitigation: Proactively manage denied or rejected claims by identifying the root cause of the denial, correcting documentation, and resubmitting promptly.
  • Compliance & Auditing: Ensure all warranty repair orders have complete and compliant documentation before submission, including proper diagnosis codes, labor operations, and parts documentation. Maintain alignment with OEM warranty policies and audit requirements.
  • Site Support & Partnership: Partner with Service Advisors and Service Managers at each individual site to improve warranty repair order (RO) documentation quality directly at the point of creation.
  • Financial Reconciliation: Reconcile warranty payments received against claims submitted, identifying and swiftly resolving any discrepancies.
  • Financial Reporting: Support the monthly Stellantis Financials Submission with accurate, verified claims data.
  • Analytics Delivery: Provide regular reports on warranty claims volume, approval rates, denial trends, and claim aging to the Strategy & Analytics Sr. Manager.

What you should have
  • Minimum of 3+ years of automotive warranty administrator experience, with a heavy emphasis on OEM processes (Stellantis/CDJR experience highly preferred).
  • Deep understanding of OEM warranty policies, labor operations, diagnosis coding, and compliance standards.
  • Strong communication and partnership skills, with the ability to influence and guide site-level Service Advisors and Managers on documentation best practices.
  • Analytical mindset with strong attention to detail, capable of reconciling financial payments and spotting denial trends.
  • Ability to thrive in a centralized, fast-paced, and evolving back-office environment.

Other requirements
To be able to do your job at Carvana, there are some basic requirements we want to share with you.
  • Must be able to read, write, speak and understand English
  • Must be at least 18 years of age
  • Must have a valid driver's license
  • A clean driving record with no more than two moving violations or DUI's in the last three years
  • Work both inside and outside in heat/cold, wet/humid, and dry/arid conditions
  • Use personal protective equipment to prevent exposure to hazardous materials
  • May be requested to work overtime and weekends for special programs and events.
  • Frequent standing and sitting with varying periods of each
  • Lift up to 40 pounds frequently
  • Walk up to three miles each day
