What You'll Do

  • The Capture/Proposal Coordinator I supports all administrative aspects of proposal development— ensuring security and integrity of all proposal documentation, coordinating internal flow and review of all proposal inputs, and directing production of final master proposal. Directly supports the assigned Proposal Managers from RFP release through contract award. Under direction manages coordination with Proposal Managers, including monitoring the budget, and works closely with Capture Managers, and the full range of company staff in assisting in the development and submission of winning proposals. Also directly supports Capture Managers from opportunity identification through proposal submission. This position is responsible for all desktop publishing for the proposals supported. This position is an entry position to Capture & Proposal management.

Key Responsibilities

  • Under guidance, creates and updates pursuit SharePoint sites, to include the reference libraries and other resource materials, ensuring all elements of these sites - are accurate, up-to-date and accessible to the proposal team and other BD Leadership personnel.
  • As directed, establishes and documents electronic proposal file access and tracking protocols for ensuring the security and integrity of all proposal documentation.
  • Assists in the preparation and review of proposal outlines and assists in the development of Proposal Compliance Matrixes based on RFP requirements.
  • Under direction, works with the Proposal Manager in coordinating proposal kick-off meetings, Color Team Reviews (Pink, Red, Gold), and interfaces with multiple departments (e.g. Operations, Contracts, HR, Legal, Communications, Finance, ES&H, and Security, etc.) Works with other personnel (e.g. V2X, partners, subcontractors, consultants, and technical representatives, etc.) to prepare on-boarding documentation.
  • Under direction, coordinates with the Proposal Manager stand up activities, coordinates the internal flow of proposal inputs and outputs, and maintains real-time development status of all proposal text and graphics (e.g. desk top publishing, graphics, edit, assembly, and book check).
  • Under direction, develops final production cycles, schedules, resources, and assists in directing the production, reproduction, and binding/packaging of final master proposal, and all hard/soft copies.
  • Participates in reviews to ensure proposal compliance with the RFP, coordinating and participating in comprehensive compliance reviews from RFP release through the various color teams, ENs, FPR, and award.
  • Under direction, coordinates Past Performance inputs and Resumes, as required, with the ability to act as lead for these sections of a proposal.
  • Tracks past performance questionnaires, when required.
  • Responsible for understanding formats text using styles and templates, create tables, import graphics and spreadsheets to ultimately produce finished products. Requires close coordination with editors, writers, and proposal managers.
  • Prepares documents for color team reviews and final production, ensuring compliance with all RFP formatting and documentation requirements and subsequent review recovery efforts. Final production efforts include, but not limited to, assisting with the proposal printing and assembly process, and packages proposal for shipping
  • Under the supervision of the Proposal Management Manager, develops and requests data calls to Operations/Field organizations or subcontractors, when needed.
  • May assist Capture Managers with key personnel searching and job postings

    • Bachelor's degree or equivalent experience from which comparable knowledge and job skills can be obtained.
  • Experience:
    • One (1) year of similar experience in supporting Local, State, or Federal Government.
    • Must be proficient in Microsoft Office Suite.
    • Ability to produce compliant documents according to customer requirements.
    • Must have an understanding of government procurement, Federal government contracts, regulations and procedures, and government operations and maintenance services.
  • Other Requirements:
    • Secret security clearance or ability to obtain.
    • Must be local to the Orlando, FL office
    • Travel involved to customer and program locations.

Desired Qualifications

  • Experience:
    • Desktop Publication skills desired.
    • Proposal development experience or training in Shipley process highly preferred.
