Job description

Administrative Coordinator

Are you the person who keeps things moving behind the scenes, the one who never lets an email go unanswered or a deadline sneak up unnoticed? We're looking for an Administrative Coordinator to support our Purchasing and Design & Engineering departments, keeping both running smoothly day to day.

This role isn't about technical expertise in engineering or systems. It's about organization, follow-through, and making sure the right information reaches the right people at the right time. You'll be the connective tissue between internal teams, vendors, and external engineers, managing communication, documentation, and scheduling data across two busy departments.


What you'll do:

  • Manage and triage the manager's inbox across both departments, drafting routine replies and flagging anything urgent
  • Prepare and track documents for submittal to engineers and vendors, following quote approvals through to sign-off
  • Coordinate the full back-and-forth of submittals and markups, ensuring everything is routed, received, and tracked
  • Keep cloud files and folder structures organized and up to date
  • Maintain accurate, current data in departmental scheduling systems
  • Serve as a go-to point of contact for scheduling questions and cross-department coordination
