This role supports recruiting operations through strong coordination, organization, and communication skills while helping maintain efficient hiring processes across the business. This position requires strong attention to detail, adaptability, and the ability to manage multiple priorities in a fast-paced environment while ensuring a positive candidate and stakeholder experience. Key Responsibilities: Interview Coordination Coordinate interview scheduling across recruiters, hiring managers, and candidates Manage calendars and resolve scheduling conflicts to keep the hiring process moving efficiently Ensure interview details, confirmations, and communications are accurate and sent in a timely manner Support onsite, virtual, and panel interview coordination as needed Candidate Experience Serve as a primary point of contact for candidates throughout the interview process Provide clear, professional, and timely communication to candidates and internal stakeholders Help create a positive and organized interview experience from initial scheduling through final feedback stages Manage changes and scheduling updates with urgency and professionalism Travel Coordination & Administrative Support Coordinate candidate travel arrangements when needed, including flights, hotels, and transportation Assist with travel reimbursement processing and follow-up Support general recruiting coordination and administrative tasks as assigned Stakeholder Partnership Partner closely with recruiters, hiring managers, and team members to support hiring needs and scheduling priorities Assist with coordination for various interview formats, including team and cross-functional interviews Help maintain alignment and communication across stakeholders throughout the recruiting process Operational Excellence Maintain accurate candidate and interview data within the Applicant Tracking System (ATS) Ensure scheduling processes are completed accurately and efficiently Identify opportunities for process improvements and support recruiting operations initiatives Assist with reporting and tracking recruiting activity as needed Qualifications: Required 1-3 years of experience in recruiting coordination, scheduling, administrative support, or related experience Strong organizational skills and attention to detail Ability to manage multiple priorities in a fast-paced environment Excellent written and verbal communication skills Ability to adapt quickly and remain organized when priorities shift Experience working with Microsoft Outlook, Teams, or similar scheduling tools Preferred Experience supporting recruiting or HR teams Experience using an ATS such as SAP SuccessFactors or similar systems Familiarity with interview scheduling and candidate coordination processes Key Competencies: Strong organization and time management skills Attention to detail and accuracy Professional communication and interpersonal skills Ability to work collaboratively across teams Adaptability and sense of urgency Problem-solving and follow-through Ability to handle confidential information with discretion.
