Job description

Mission: Seeking to put God's love into action, Pikes Peak Habitat for Humanity brings people together to build homes, communities, and hope.
GENERAL DESCRIPTION:
The Executive Assistant is responsible for providing administrative support to PPHFH's C-Suite (CEO, COO, etc.), as well as serving as a liaison and point of contact for the PPHFH Board of Directors and the Board committees. This individual professionally represents Pikes Peak Habitat for Humanity in-person and through written and verbal communication. The Executive Assistant position will work to ensure that the C-Suite is able to conduct their daily business in an organized, prepared, and proactive manner. This position will work to support the Leadership team through administrative work, specialized projects, support office management, and other administrative support tasks as needed.
PRIMARY RESPONSIBILITIES:
C-Suite Administrative Support
  • Manage assigned C-Suite members' calendars, such as scheduling, logistics, and planning meetings and appointments.
  • Process and distribute incoming communications (e.g. mail, email, phone, etc.) in a timely manner.
  • Manage administrative duties for the C-Suite, including but not limited to, receipt and expense reporting, drafting meeting notes, creating information packets for meetings, printing, filing, and making travel arrangements.
  • Support the C-Suite with any administrative task to ensure that they are prepared to execute the daily tasks of the organization.
  • Be proactive in supporting the C-Suite with any administrative task that may occur.
  • Track progression of PPHFH's strategic plan to report to the C-Suite.
  • Exercise high levels of confidentiality, discretion, and integrity with sensitive information.
  • Create, draft, and submit quarterly and annual reports to Habitat for Humanity International (e.g. Quality Assurance Reports, Safeguarding Compliance Report, etc.)

Board of Directors and Committees Support
  • Be a point of contact for the Board of Directors and committee members in preparing meetings, briefings, taking notes, and connecting members with the C-Suite as appropriate when decisions are needed.
  • Initiate and track Board of Directors and committee members' training (e.g. CO Sec. of State, HFHI, PPHFH, etc.) and compliance requirements (e.g. service hours, annual donation, voting history records, etc.)
  • Ensure that the requirements of the Board of Directors are being met and reported to the C-Suite.
  • Support the functioning of the Board of Directors with tasks, such as orientations, retreats, and supply ordering.
  • Updating the Board of Directors Policy Manual with each non-personnel policy creation or amendment.
  • Supporting the Marketing/Communication Manager to update board website portal access and board biographical information.

Special Projects and Events
  • Collaborate with the Marketing & Communications manager to draft opinion pieces, media releases, and other external communications from the desk of the CEO.
  • Support C-Suite with media, special events, and requested projects approved by the CEO
  • Support internal teams (Development, Construction, HR, ReStore, etc.) with requests made by the CEO and any reporting needs.
  • Participate, support, and attend affiliate events (e.g. Home Dedications, Donor Appreciation Event, Volunteer Appreciation Event).

Other responsibilities
  • Support general office management, including but not limited to, supporting front desk operations, supply ordering, printing, etc.
  • Managing the Affiliate Master, Conference Room and Board Room calendars.
  • Updating staff and board access to My.Habitat.org website.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, & ABILITIES:
  • Highly organized, professional with high integrity, discretion, and confidentiality.
  • High project management skills and multitasking ability.
  • Detail-oriented and exceptionally good at meeting deadlines.
  • Self-motivated, able to work independently and with minimal supervision with a clear focus on proactive tasks and can work well within a team setting.
  • Highly proficient in Microsoft Office, including Word, Excel, and Outlook, etc.
  • Excellent written and verbal communication skills, customer service, and interpersonal skills.
  • Connection to the mission of PPHFH.

EDUCATION & EXPERIENCE
  • BA/BS Degree preferred in Communications or Business Administration
  • 3+ years of experience in an administrative support capacity.
  • Notary certification preferred, or the ability to acquire within 90 days of employment.

JOB STATUS:
This position is non-exempt, full-time with a regular schedule of 40 hours per week.
