Job description

The Business Support Services Manager is responsible for leading key operational support functions that enable efficient business performance across the organization. This role provides leadership for invoicing and revenue administration, vendor payment operations, corporate card administration, process improvement initiatives, and cross-functional coordination efforts.
The position works closely with operational and corporate leaders to develop scalable processes, improve workflows, enhance service delivery, and ensure consistent execution of critical business support activities. The Business Support Services Manager drives operational excellence through continuous improvement, technology enablement, data-driven decision-making, and the development of high-performing teams.
This role requires a collaborative leader with strong organizational, analytical, and communication skills who can balance day-to-day operational oversight with long-term process optimization and business growth initiatives.
Key Responsibilities
Operational Leadership
  • Lead and manage invoicing and revenue administration, vendor payment operations, and corporate card administration functions.
  • Develop and implement standardized processes, procedures, and controls to improve efficiency, consistency, and service delivery across the organization.
  • Evaluate current workflows and identify opportunities for process improvement, automation, and scalability.
  • Collaborate with operational and corporate leaders to ensure business support activities align with organizational objectives.
  • Establish performance metrics and reporting to monitor service levels, process effectiveness, and operational performance.
  • Drive a culture of accountability, customer service, continuous improvement, and operational excellence.

Invoicing and Revenue Administration
  • Oversee invoicing activities to ensure accuracy, completeness, timeliness, and compliance with customer and contract requirements.
  • Partner with business leaders to improve billing processes, reduce revenue leakage, and streamline customer payment workflows.
  • Monitor work-in-progress (WIP) aging and outstanding customer balances and drive resolution of aged items.
  • Lead revenue review meetings and collaborate with stakeholders to improve invoicing efficiency and overall performance.
  • Develop reporting and analytics related to invoicing activity, customer trends, and operational performance indicators.

Vendor Payment Operations
  • Oversee vendor payment processes to ensure timely, accurate, and compliant disbursements.
  • Maintain effective approval workflows and controls that support operational efficiency and policy compliance.
  • Collaborate with internal stakeholders and vendors to resolve payment and process-related issues.
  • Identify and implement opportunities to improve vendor payment processes and service levels.

Corporate Card Administration
  • Lead the organization's corporate and purchasing card programs, including card issuance, renewals, modifications, cancellations, record maintenance, and policy compliance.
  • Provide oversight and guidance to card administrators across business units.
  • Review employee card transactions and spending activity to identify trends, improve compliance, and support effective expense management.
  • Serve as the primary liaison with card providers to manage accounts, resolve issues, and evaluate program enhancements.
  • Prepare reports and analytics related to card utilization, spending patterns, and compliance performance.

Process Improvement and Systems Support
  • Lead initiatives focused on continuous process improvement, operational efficiency, and business support effectiveness.
  • Support ERP implementations, upgrades, and system enhancements impacting business support operations.
  • Collaborate with stakeholders to ensure successful adoption of new technologies and business processes.
  • Utilize data analysis and reporting tools to identify trends, measure performance, and support informed decision-making.

Team Leadership and Development
  • Lead, coach, mentor, and develop a high-performing team.
  • Establish clear goals and performance expectations and provide ongoing feedback and development opportunities.
  • Foster collaboration and strong working relationships across departments and business units.
  • Promote employee engagement, accountability, and a customer-focused approach to service delivery.

Qualifications and Skills
Required Qualifications
  • Bachelor's degree in Business Administration, Management, Accounting, Finance, or a related field; equivalent experience may be considered.
  • Minimum of five (5) years of experience leading business operations, invoicing, payment operations, or related support functions.
  • Minimum of three (3) years of leadership or management experience.
  • Experience developing policies, procedures, controls, and process improvement initiatives.
  • Strong knowledge of ERP systems and business process workflows.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.

Preferred Qualifications
  • Experience supporting multi-entity or multi-location organizations.
  • Experience with ERP implementation, system conversions, or operational transformation initiatives.
  • Experience overseeing corporate card programs and expense management processes.
  • Project management experience.
  • Experience developing operational metrics, dashboards, and performance reporting.

Working Conditions
  • Work is primarily performed in a remote home office environment, however travel to the corporate offices in Hartselle, AL is required on a consistent schedule.
  • Requires the use of standard office equipment, computers, and business software applications.
  • Ability to sit for extended periods and perform repetitive hand and keyboard movements.
  • May be required to work outside of normal business hours to support operational needs and critical business initiatives.
  • Must possess the visual acuity necessary to review reports, analyze data, and utilize computer systems effectively.
