Position Summary:

The Manager, Executive Operations provides business operations support to the Chief Technical Officer (CTO) and members of the Manufacturing & Operations leadership team. Additionally, this role may also support other Executive Leadership Team members. This role enables effective execution across Manufacturing, CMC, Quality, Supply Chain, Site Operations, and related technical functions by maintaining leadership dashboards, reports, operating metrics, and executive-ready summaries; tracking goals, milestones, key performance indicators, and project risks; coordinating cross-functional initiatives; and supporting continuous improvement of departmental processes and operating procedures. The successful candidate will exercise sound judgment, analytical rigor, discretion, urgency, and professionalism in a fast-paced, highly regulated biotechnology manufacturing environment.

This position is located onsite Monday - Friday in Winston Salem, NC.

Essential Duties & Responsibilities:

Leadership Reporting, Dashboards & Operating Metrics

  • Prepare and maintain leadership dashboards, reports, and operating metrics to provide visibility to departmental performance, priorities, and execution status.
  • Compile data, identify basic trends, and prepare summaries for management review.

Goals, Milestones & KPI Monitoring

  • Track department goals, milestones, and key performance indicators across Manufacturing & Operations and related technical functions and provide status updates to management.
  • Prepare operational reports and presentations for leadership review, including materials that support operating reviews, governance forums, and executive discussions.

Cross-Functional Initiative Coordination

  • Support project teams by maintaining project schedules, tracking action items, and coordinating meeting logistics.Partner with functional teams to support execution of departmental projects and operational activities.

Project Risk, Issue Escalation & Follow-Up

  • Track project action items, and open issues; escalate matters requiring leadership attention in a timely and appropriate manner.
  • .Maintain meeting documentation, action-item logs, and follow-up communications to support department meetings.

Departmental Process Improvement & Operating Procedures

  • Recommend process improvements and support implementation of approved operational changes.Work closely and collaboratively with administrative colleagues and functional partners to ensure leadership has clear visibility to the highest-priority actions, decisions, risks, and initiatives.
  • Participate in continuous improvement efforts to enhance operational efficiency and reporting processes.

Qualifications:

  • Education/Training
    • High school diploma or equivalent required.
    • Bachelor's degree in business administration, operations, life sciences, or a related field preferred.
  • Experience
    • 10+ years of relevant business operations, executive operations, project coordination, operations reporting, or senior administrative/operations support experience with a high school diploma or equivalent; or 5+ years of relevant experience with a bachelor's degree required.
    • Experience developing dashboards, reports, operating metrics, executive-ready summaries, or leadership review materials required or strongly preferred.
    • Experience coordinating cross-functional initiatives, tracking milestones, monitoring risks, and following up on commitments across multiple stakeholders required or strongly preferred.
    • Experience in biotechnology, pharmaceutical, manufacturing, life sciences, technical operations, or another regulated environment preferred.
  • Knowledge
    • Understanding of business operations practices, leadership reporting, KPI tracking, meeting governance, project coordination, document management, and confidentiality expectations.
    • Familiarity with technical operations, manufacturing, quality, CMC, supply chain, regulatory, or regulated business environments preferred.
  • Skills
    • Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, Excel, and Teams; ability to build clear reports, dashboards, presentations, and leadership-ready materials.
    • Strong written and verbal communication skills, with the ability to interact professionally and collaboratively with internal and external stakeholders at all levels
