Roeper is currently recruiting for an Advancement Database Associate.
Position Summary
The Advancement Database Associate is responsible for database management, gift administration and processing, admissions inquiry processing, enrollment operations, reporting, and constituent data stewardship supporting both Development and Enrollment. Through strong attention to detail, customer service, data management, and process improvement, this position advances the Schoolโ€™s enrollment, fundraising, engagement, and stewardship goals.
Key Responsibilities
Development Database amp; Gift Administration
  • Serves as lead administrator for Raisers Edge NXT, utilizing both database and web view functionality
  • Manages gift processing, acknowledgements, tax receipts, pledge reminders, and related donor records
  • Maintains constituent, fundraising, events, and donor records to ensure data accuracy, integrity, completeness, and compliance
  • Produces queries, reports, mailing lists, data exports and prospect research support materials
  • Manages the recording, processing, reporting, and reconciliation of charitable gifts and deposits in partnership with the Business Office
  • Develops and maintains operational procedures and documentation support
  • Supports prospect research and fundraising data initiatives
  • Supports compliance with gift processing policies, IRS regulations, and CASE reporting standards
Enrollment Database Administration
  • Serves as lead administrator for admissions database and enrollment systems
  • Processes admissions inquiries and maintains prospective student records
  • Supports admissions workflow management
  • Assists with enrollment contract generation and enrollment records
  • Produces admissions reports, mailing lists, data exports, and dashboards
  • Maintains constituent and admissions records to ensure data accuracy, integrity, completeness, and compliance
  • Develops and maintains documentation related to admissions database
  • Supports enrollment reporting, forecasting, and data analysis initiatives.
Team amp; Administrative Support
  • Provides general administrative and operational support to Development and Enrollment
  • Maintains organized departmental records, files, and operational documentation to support continuity and efficiency
  • Collaborate with colleagues across Development, Admissions, Information Technology, the Business Office, Administration, and the Board of Trustees
Skills
  • Experience and comfort managing complex databases
  • Experience with Raisers Edge NXT, Blackbaud products, or a similar advancement, admissions, or CRM database systems
  • Demonstrated ability to analyze data and generate reports that support organizational decision-making
  • Strong technical skills, including proficiency in database management, advancement or enrollment software systems, Microsoft Office Suite, and data reporting tools
  • Knowledge of fundraising, enrollment, advancement, or constituent management systems and related operational procedures
  • Maintain high level of discretion, confidentiality, diplomacy, and professionalism. Excellent written and verbal communication skills including composing and proofing
  • Ability to identify, prioritize and manage multiple projects and assignments within established timelines
  • Ability to form collaborative work relationships to facilitate project completion
  • Demonstrated commitment to cultural competency work and to perform responsibilities in accordance with Roeper's commitment to diversity, equity, inclusion, and justice

Salary Consideration:
The estimated base annual salary for this full-time role is from $45K to $50K. The final base salary will be determined based on several non-discriminatory factors which may include job-related work experience; industry experience; education; skills; and knowledge.
