Job description

Job Overview:

The Executive Assistant will provide high-level administrative support to a C-Level Executive at GM Sectec, including calendar management, travel coordination, meetings, communications, and other executive support functions.

The ideal candidate will demonstrate professionalism, discretion, confidentiality, initiative, and sound judgment, with the ability to anticipate needs, manage multiple priorities, and work independently. This role will also serve as a key liaison with employees, clients, vendors, and business partners.

Key Responsibilities:

  • Provide high-level administrative and executive support to a C-Level Executive.
  • Manage executive calendars, meetings, appointments, and priorities.
  • Coordinate business travel, including flights, accommodations, transportation, and itineraries.
  • Organize internal and external meetings, client visits, corporate events, and Executive Briefing Center (EBC) activities.
  • Support the planning and coordination of corporate events, executive meetings, sales kick-offs, and annual meetings.
  • Prepare presentations, reports, correspondence, meeting minutes, and other business documents.
  • Manage executive communications, expense reports, confidential files

Requirements and Skills:

  • Associate or Bachelor’s degree in Business Administration, Office Administration, or a related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar role supporting senior-level executives.
  • Experience managing executive calendars, meetings, business travel, and corporate events.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and virtual meeting tools.
  • Excellent written and verbal communication skills in English and Spanish.
  • Strong organizational, time management, and multitasking skills.
  • High level of professionalism, discretion, and confidentiality.
  • Proactive, detail-oriented, and able to work independently, manage changing priorities, and meet deadlines.
