Job description

About Us
Klemchuk PLLC is a nationally recognized boutique intellectual property and business law firm based in Dallas, Texas. We represent innovators, entrepreneurs, technology companies, and established businesses that are changing the world through innovation.
Our Founder/CEO is also an entrepreneur actively building multiple businesses, including a growing intellectual property mediation practice, a legal coworking business, and several technology, marketing, and operational initiatives.
We're looking for someone who wants far more than a traditional administrative position. We're looking for someone who wants to help build great businesses.
Why This Role Is Different
Most administrative jobs involve maintaining existing systems. This role is about growing better ones.
You'll work directly with the leadership team to help improve operations, launch initiatives, solve problems, streamline processes, and help multiple businesses operate more effectively. No two weeks look exactly alike.
The Opportunity
This position is designed for someone with approximately 3-7 years of professional experience who is ready to accelerate their career.
Your long-term mission is to create leverage. You are someone who can identify opportunities for improvement, find and implement creative solutions, document processes, improve workflows, implement automations, and have an eye that continuously seeks opportunities for businesses to scale.
As you demonstrate ownership and produce results, your responsibilities will continue to grow.
Primary Responsibilities
• Lead screening, sales pipeline management, and assisting with client intake
• Executive scheduling and priority management
• Relationship management and business development follow-up
• Create and schedule LinkedIn and other social media content
• Assist with mediation practice development and scheduling
• Client billing, Clio payments, light QuickBooks Online bookkeeping
• Manage accounts payable through Bill.com
• Prepare weekly KPI and scoreboard reports
• Coordinate special projects across the law firm, Engage Workspace, and mediation practice
• Improve workflows, document SOPs, implement AI and automation
• Provide assistance with administrative operations and train team members on systems you create
You Might Be Our Person If
  • You naturally create order from chaos.
  • You enjoy figuring things out.
  • You notice details others miss.
  • You take ownership without being asked.
  • You communicate professionally.
  • You enjoy learning technology.
  • You build systems that make everyone more effective.
  • You enjoy a fast-paced work environment.
  • You enjoy working in the office and being available for others daily.
  • People know they can count on you.

This Role Is NOT For You If
  • You need constant direction.
  • You frequently seek approval for routine decisions.
  • You require repeated reminders.
  • You dislike changing priorities.
  • You prefer repetitive work over solving new problems.
  • You wait for someone else to fix problems.

The Traits We're Looking For
Detail-oriented • Analytical • Positive • Resourceful • Professional • Organized • Dependable • Curious • Socially polished • Sense of urgency balanced with accuracy.
Software
Helpful experience includes: Apple computers, Microsoft 365 for Mac, Excel spreadsheets and formulas, Clio, QuickBooks Online, Bill.com, LinkedIn, Canva, ChatGPT, Monday.com, and Mailchimp.
We can teach software. We cannot teach ownership, integrity, curiosity, judgment, and follow-through.
What Success Looks Like
Within your first year, you'll prove you are someone the Founder/CEO and the leadership team can trust completely.
Over time you'll own projects, improve operations, build systems, document processes, implement automation, train others, and become a key contributor to the growth of multiple businesses.
Our Mission
Our mission is to empower innovators to change the world. We believe one way we fulfill that mission is by providing unexpectedly great service while continually improving how we operate.
We're looking for someone who wants to help build that future.
Job Type & Location (Onsite - Dallas, Texas)
  • Full-time, in-office (Dallas, TX 75206)
  • Monday-Friday, 8:30 a.m. - 5:30 p.m.

Compensation & Benefits
  • Up to $60,000 annual salary (based on experience) plus benefits package
  • 401k, Medical, Dental, Vision
  • Free parking and professional work environment
