The Building Operations Manager serves as a critical bridge between technical building operations and day-to-day property management functions. This role is ideal for a seasoned Building Engineer seeking to expand into property management while maintaining hands-on oversight of building systems, vendor performance, tenant satisfaction, and operational excellence.

The position combines technical facility expertise with administrative, financial, and customer service responsibilities to ensure the property is operated safely, efficiently, and in accordance with ownership objectives.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Building Operations and Engineering

  • Oversee the operation, maintenance, and repair of all building systems, including: HVAC, Electrical, Plumbing, Fire/Life Safety Systems, Building Automation Systems (BAS), Structural and architectural components
  • Perform routine inspections and identify corrective actions.
  • Coordinate preventive and predictive maintenance programs.
  • Respond to building emergencies and after-hours service calls as needed.
  • Maintain compliance with all local, state, and federal regulations, including workplace safety and emergency response planning.
  • Manage work order completion and ensure service level expectations are met.

Property Management Support

  • Serve as a primary point of contact for tenants and corporate employees regarding service requests and building concerns.
  • Conduct tenant meetings and maintain positive tenant relations.
  • Coordinate tenant improvement projects and move-in/move-out activities.
  • Support lease administration and ensure compliance with lease obligations.
  • Assist in preparing annual operating budgets and capital expenditure plans.
  • Review invoices, track expenses, and support monthly financial reporting.

Vendor and Contractor Management

  • Assist in the solicitation of bids and evaluation of proposals, and manage on site contractor performance.
  • Coordinate service providers to ensure work is completed safely, on schedule, and within budget.
  • Conduct regular vendor performance reviews.
  • Verify contractor compliance with insurance and safety requirements.

Financial & Administrative Responsibilities

  • Monitor operating expenses and identify cost-saving opportunities.
  • Assist with budget forecasting and variance reporting.
  • Review and approve maintenance-related invoices.
  • Maintain accurate property records, maintenance logs, and compliance documentation.
  • Utilize CMMS, work order, and property management systems effectively.
  • Process and distribute mail and manage packing and shipping services for the corporate headquarters.

Ensuring Regulatory & Operational Excellence:

  • Maintain the integrity of WaFd's business needs in all processes and activities.
  • Adhere to bank policies and procedures designed to comply with federal regulations, including but not limited to the Bank Secrecy Act, USA Patriot Act and OFAC regulations. To that end, ensure timely and accurate preparation of reports and other recordkeeping requirements.
  • Complete and pass all assigned eLearning courses and assigned certifications as required.
  • Always adhere to security and compliance procedures. 
  • Avoid all real or perceived conflicts of interest and always maintain client privacy and confidentiality.

Qualifications

Education/Skills/Training/Experience:

  • 5+ years of commercial building engineering or facilities management experience.
  • Strong working knowledge of HVAC, electrical, plumbing, and building automation systems.
  • Experience managing vendors and service contracts.
  • Strong customer service and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite.

Preferred Qualifications

  • College Degree in related field with 5+ years of commercial building engineering or facilities management experience.
  • Experience supporting commercial property management operations.
  • Budgeting and financial reporting experience.
  • CMMS and property management software experience.
  • Real estate or facilities management certifications.
