About the Position:

The Operations Support Specialist coordinates and supports field operations across assigned markets, ensuring seamless communication and problem-solving between clients, field technicians, and internal teams.

Reporting to the Director of Operations, this role manages work orders, scheduling, dispatching, and vendor coordination while maintaining service quality, operational efficiency, and customer satisfaction.

Essential Job Responsibilities:

  •        Schedule and dispatch building engineers, mobile maintenance engineers, and flex engineers, balancing workload priorities and urgent service needs.
  •        Create, assign, and monitor work orders for field technicians and engineers.
  •        Serve as the primary point of contact for field technicians, ensuring prompt and professional communication.
  •        Assist technicians with coordinating outside vendors as required.
  •        Manage a high volume of service requests, ensuring timely resolution and service quality.
  •        Verify and assist with technician’s time sheets and mileage reimbursement on a weekly basis.
  •        Collaborate with Regional Engineering Managers to align service expectations and operational priorities for field staff.
  •        Provide after-hours support for emergency situations as needed.
  •        Help develop, update, and improve Standard Operating Procedures (SOPs).
  •        Perform additional operational support duties as assigned.
  • Requirements:
  • High School Diploma, GED, or equivalent required.
  •        1–2 years of experience in operations support.
  •        Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and related applications required.
  •        Strong organizational, multitasking, and problem-solving skills.
  •        Ability to thrive in a fast-paced and dynamic work environment.
  •        Strong communication skills with the ability to interact professionally with both clients and technicians.

 

Preferred Qualifications:

  • Experience working in facilities services, building operations, or field service coordination.
  •        Familiarity with electronic work order management systems.
  •        Prior exposure to vendor management and service-level compliance.
  •        Knowledge of industry-related software platforms, including CMMS or dispatch management systems.
  •        Demonstrated ability to support process improvements and develop operational best practices.
  •        Experience in a fast-paced, high-volume service environment preferred.
  •        Bilingual or multilingual communication skills.
  •        Associate’s or Bachelor’s degree in Business Administration, Facilities Management, Operations, or related field.
