Job Summary:

Direct and coordinate activities of operations department through financially sound decisions while obtaining optimum quality through efficient use of equipment, facilities, and personnel by performing the following duties personally or through subordinates

Essential Duties and Responsibilities:

Supervision and Staffing:

  • Supervise and direct all operations personnel, including dispatchers, operations assistants, warehouse personnel, drivers, and service crew in daily activities, whether employees or contractors
  • Recruit and hire qualified operations personnel, maintaining adequate staff to support capacity plans and goals for both peak and non-peak seasons
  • Assure that all employees and contractors have proper training, job skills, and knowledge to perform assigned duties. Assess and act when re-training is needed.
  • Confer with other management personnel in formulating administrative and operational policies and procedures
  • Participate in planning and goal setting in the areas of Quality, Safety, Capacity, and Profitability
  • Lead performance reviews, career path planning meetings, positive feedback and recognition activities, corrective action meetings, and disciplinary actions with all operations personnel

Safety and Compliance:

  • Assure that safety is the number one priority for all personnel, above all other goals and objectives
  • Monitor safety goals and work with the Safety Manager or branch ASR toward continuous improvement
  • With the Safety Manager, set yearly goals for driving safety, work comp injury prevention, and property damage prevention
  • Work within the "See something, say something" environment to comply with and enforce all safety regulations and policies of the company
  • Insure compliance with governmental regulations, licensing and permitting, and administrative policies and procedures
  • Timely act on the recommendations of the Safety Manager or branch ASR with resources, decisions, root cause or accident investigations, and elevation of issues.
  • Set policies and procedures for facility and vehicle security, including end of day checks, and monitor them for completion.

Quality:

  • Insure all service related activities are performed to the highest level possible in accordance with company and van line standards.
  • Insure that all crew members have current, valid criminal background check clearance, (CBC/CID).
  • Set and monitor goals for standards 3, 4, and 5, (packing, loading, unloading), from the Unigroup quality surveys.
  • Insure that all service commitments are met by utilizing best practices, maintaining staff of adequate size and training, and maintaining equipment to be available as needed.
  • Assure that timely planning and scheduling is completed daily for all jobs and all lines of business
  • Coordinate with the Quality Assurance Manager and Claims Manager in the areas of goal setting, training, continuous improvement, and corrective action
  • Monitor quality goals and continuous improvement plans
  • Maintain adequate inventories of material and supplies to avoid service failures due to out of stock items.
  • Maintain rolling stock, material handling equipment, and moving equipment to eliminate service failures whether from breakdown or unavailability
  • Assure that job paperwork is complete and processed in a timely manner

Profitability:

  • Monitor gross margins for all service lines. Develop and implement specific plans to improve gross margins compatible with branch goals
  • Assure that scheduled and preventive maintenance of equipment, (rolling stock, material handling, and moving equipment), gets completed to minimize down time, rental costs, and the extra expenses of breakdowns
  • Review and analyze expenditures, route and schedule planning, and post-job results for optimum time and cost efficiency
  • Monitor productivity of production crews against goals
  • Manage overtime hours within acceptable guidelines
  • Prepare an annual budget for Operations Department and manage to budget
  • Participate in job costing to provide the basis to secure additional profitable business opportunities
  • Negotiate contracts with equipment and materials suppliers as delegated and agreed to with the branch GM
  • Serve as subject matter expert for business development and sales calls to describe and promote the company's capabilities

Capacity Expansion:

  • Recommend capital expenditures for acquisition of new equipment and maintenance of existing equipment to increase efficiency and services of operations department
  • Recruit, manage, train, document and counsel employees, van operators and service crew as necessary, (per the plan goals for the year)

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience:

Bachelor's degree preferred or three to five years related experience and/or training; or equivalent combination of education and experience. 5+ years general warehouse/operations experience and 3+ years household goods experience preferred; previous management experience required.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Math Ability:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

To perform this job successfully, an individual should have knowledge of MS Word, MS Excel MS Outlook.

Directly supervises multiple employees in the warehouse/office operations. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
