About the Role:
A Hug Away Medical Supplies, Inc. is seeking an experienced Home/Durable Medical Equipment (H/DME) Coordinator with strong Brightree experience to oversee day-to-day medical supply operations. This role is designed for a hands-on DME professional who fully understands the intake-to-billing lifecycle, payer requirements, and compliance standards.
This is a key operational role, working on-site and closely with leadership to ensure accurate intake, efficient billing, regulatory compliance, and excellent patient service.
Core Responsibilities:
Brightree Patient Coordination:
  • Manage the complete DME workflow using Brightree, from referral intake to billing and collections.
  • Enter and validate patient demographics, physician documentation, CMNs, and supporting records.
  • Verify insurance eligibility, authorizations, and payer requirements prior to delivery.
  • Submit clean claims and resolve billing issues, denials, and follow-ups.
H/DME Operations & Inventory:
  • Oversee inventory tracking, expiration monitoring, audits, and vendor restocking.
  • Coordinate H/DME orders from intake to delivery and post-delivery follow-up.
  • Ensure accurate documentation for audits and payer reviews.
Compliance & Regulatory Oversight:
  • Maintain compliance with Medicare, DMEPOS standards, HIPAA, OSHA, and HQAA.
  • Ensure all operational logs, policies, and documentation are current and audit-ready.
Customer Service & Coordination:
  • Serve as a primary point of contact for patients, caregivers, and referral partners.
  • Address concerns promptly and conduct post-delivery satisfaction follow-ups.
  • Coordinate with vendors, delivery teams, and referral sources.
Reporting & Performance:
  • Prepare monthly reports related to inventory, billing performance, and revenue.
  • Support company initiatives and operational improvements.
  • Assist with credentialing, contracts, and vendor partnerships.
Marketing & Growth Support:
  • Support community outreach, referral relationships, and in-store education efforts.
  • Assist with initiatives tied to H/DME growth and operational expansion.
Required Qualifications:
  • 2+ years of hands-on Home or Durable Medical Equipment (DME) experience.
  • Direct experience using Brightree for intake, documentation, and billing.
  • Strong working knowledge of Medicare DME guidelines and billing workflows.
  • Experience with eligibility verification, authorizations, and claim submission.
  • Proficiency in Brightree.
  • Highly organized, detail-oriented, and compliance-focused.
  • Ability to work independently in an office-based setting.
