Job description

Equipment Rental Coordinator
Department: Supporting
Employment Type: Full Time
Location: Corporate Branch
Reporting To: Mike Larkins
Compensation: $22.00 - $26.00 / hour
Description
Charlotte, NC | Full-Time | Onsite
Pay: $22-$26 per hour, based on experience

Every successful rental starts with someone making sure the right equipment is available, prepared, documented, and delivered where it needs to go.
WMH Solutions is hiring an Equipment Rental Coordinator to support our growing rental fleet and help keep equipment, information, and people moving across our operations.
You will serve as a central point of coordination between customers, sales, service, transportation, vendors, and branch teams. From scheduling equipment deliveries and tracking fleet availability to processing rental documentation and communicating updates, your work will directly affect customer satisfaction and operational performance.
This position is ideal for someone with experience in equipment rental, fleet coordination, dispatch, logistics, transportation, dealership operations, rental administration, or operational support who enjoys solving problems and keeping multiple moving pieces organized.
Due to continued rental fleet growth and increasing customer demand across the Southeast, we are expanding our Rental Operations team in Charlotte.
Compensation & Benefits
Starting Pay
  • $22-$26 per hour

Compensation is based on relevant experience, equipment rental or industry background, qualifications, and overall alignment with the position.
  • Medical, dental, and vision insurance
  • Paid holidays
  • Paid time off
  • 401(k) retirement plan with company match
  • Profit-sharing opportunities
  • Short-term and long-term disability coverage
  • Life and AD&D insurance
  • Cell phone allowance
  • Professional development and industry training
  • Career advancement opportunities
  • Stable, full-time employment with a growing organization
  • Access to industry-leading equipment, systems, and technology

At WMH, this role can create a foundation for continued growth in areas such as rental operations, fleet management, logistics, sales operations, branch operations, and leadership.
What You'll Actually Do
As an Equipment Rental Coordinator, you will help manage the daily activity that keeps our rental fleet organized, available, and responsive to customer needs.
You will:
  • Coordinate rental equipment deliveries, pickups, transfers, returns, and related scheduling
  • Monitor equipment availability, rental status, fleet location, readiness, and inventory accuracy
  • Communicate with customers, vendors, sales, service, transportation, and branch teams throughout the rental process
  • Create and maintain rental records, purchase orders, vendor invoices, billing documentation, and system updates
  • Coordinate re-rent equipment through approved vendors when additional equipment is needed
  • Help resolve scheduling, documentation, inventory, and equipment-related issues before they affect the customer

This is not a role where you will perform the same isolated task all day.
You will be connecting information, anticipating needs, solving problems, and helping multiple departments stay aligned.
No two days will be exactly the same, but your day may include:
  • Reviewing new forklift and equipment rental requests
  • Checking fleet availability and equipment readiness
  • Scheduling deliveries, pickups, branch transfers, and returns
  • Coordinating with transportation teams and outside carriers
  • Communicating equipment availability and delivery timelines to customers
  • Working with service teams to confirm equipment is rental-ready
  • Processing rental agreements and supporting documentation
  • Coordinating re-rent equipment with vendors and rental partners
  • Creating purchase orders and reviewing vendor invoices
  • Updating fleet records in the ERP or rental management system
  • Researching inventory discrepancies or equipment location issues
  • Helping resolve an urgent customer or operational need

Success in this position comes from staying organized, communicating clearly, following through, and recognizing potential problems before they become customer problems.
You may be a strong fit if you enjoy:
  • Bringing order to fast-moving operations
  • Coordinating people, equipment, schedules, and information
  • Solving problems instead of waiting for someone else to handle them
  • Communicating with customers and internal teams
  • Keeping accurate records and catching small details
  • Working with multiple priorities without losing follow-through
  • Learning new systems, equipment, and operational processes
  • Being part of a team where your work has a visible impact

  • Proactive
  • Dependable
  • Customer-focused
  • Calm under pressure
  • Comfortable changing priorities

  • Accountable for follow-through

You do not need to know every piece of rental equipment on day one.
You do need to be willing to learn, communicate, stay organized, and take ownership of the details that keep the operation moving.
We welcome applicants with experience in roles such as:
  • Rental Coordinator
  • Equipment Rental Coordinator
