Compensation:$65k-$85 plus bonus incentives, Health Plan, 401K with match, & PTO

Job Description:Seeking a motivated individual with a management/administrative background and an entrepreneurial desire to work for a mission driven, family run company serving the elderly to build up a new office location. Reporting to the President, the Office Manager will ensure the smooth operation of Charter Oak Home Care. This includes overseeing branch operations including, scheduling, hiring, approving payroll and billing and regulatory compliance and client/caregiver satisfaction. The Office Manager will also visit new clients to assist with their onboarding. Our ideal candidate will possess leadership qualities, be action orientated and operationally minded with strong interpersonal skills and have a willingness to jump into a new office and build it from the ground up with support from headquarters.

Experience:

  • 3 to 5+ years in a management or administrative leadership role
  • Experience in home care, health care, or a service-related field
Responsibilities:
  • Lead day-to-day operations:For a new office location, establishing systems and routines that support steady growth
  • Supervise and Develop Staff:Train, support, and manage administrative andcoordination staff to ensure optimal performance and morale. Manage hiring and onboarding of field staff, building a dependable and caring team
  • Act as Main Point of Contact:Serve as the primary liaison for headquarterscommunications, including billing and payroll audits.
  • Ensure Compliance:Educate and guide branch staff to follow state, federal, local, and company policies and procedures. Ensures EVV compliance, verifies shifts, and ensures accurate and timely payroll processing, billing, and AR.
  • Perform Client Care Consultation:Conduct client care consultations, care planning, and ongoing supervision to ensure service quality and fit.
  • Manage Scheduling:Oversee caregiver scheduling to ensure reliable, high-quality coverage for every client
  • Financial & Performance Management:Track and manage key performance indicators (KPIs) related to revenue, billable hours, staffing levels, client growth, and retention. Control operational costs and contribute to profitability.
  • Conduct Quality Audits:Perform periodic documentation and process audits to uphold quality standards and identify areas for improvement.
  • Promote Satisfaction:Foster a culture of excellence to maximize satisfaction among clients, families, and employees.
  • Resolve Concerns:Address escalated client and caregiver issues promptly andeffectively in collaboration with internal staff.
  • Marketing and Relationship Development:In partnership with business development personnel, represent the branch in the community by attending events, building relationships with referral sources, and supporting brand awareness and growth in the field.
  • Align Marketing Efforts:Coordinate with the Business Development Manager to ensure promotional efforts match branch capacity and business goals.
