Job description

Position Summary: The ideal candidate will be able to operate independently as well as a member of a small team. This role will assist in performing a variety of daily tasks so that the team grows their business, runs smoothly, and meets service excellence standards. They will be responsible for confidential and time sensitive material.

Prior knowledge of warehouse concepts, practices and procedures is a plus. The ability to rely on experience and judgment to plan and accomplish goals with a wide degree of creativity and multi-tasking is expected. This role will report to the Business Manager and supports multiple managers company wide.

Essential Duties and Responsibilities: Include the following, as well as other duties that may be assigned.

  • Perform daily invoicing of customer orders including scanning, mailing or emailing copies
  • Process shipments and transfers for other locations
  • Prompt communication with all other locations, corporate staff, and branch employees
  • Update and maintain customer information including tax resale and credit applications
  • Process cash and credit card transactions securely and maintain records
  • Review orders and documents to ensure accuracy and advise of discrepancies
  • Follow up and communicate with manufacturer and sales reps on order status
  • Monitor and investigate inventory discrepancies to help with corrections
  • Handle customer return paperwork and credit process while reviewing for accuracy
  • Maintain a strong customer focus with constant communication between sales team and customers
  • Coordinate with corporate HR to process paperwork for new hires

Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel)
  • Proficiency in standard office and database programs/equipment
  • Knowledge of ERP systems a plus

Education and Experience:

  • High School Diploma or equivalent
  • 1-3 years’ experience in an administrative role
