Job description

Precision Walls has an exciting opportunity for a Bilingual Branch Administrative Specialist to join our team!

Position Summary: This position is primarily responsible for managing all general office duties. The position requires a great deal of discretion as responsibilities include confidentiality of contracts, pay and revenue to the branch. Must be a highly organized, customer-focused professional to support branch operations through administrative, employee support, payroll and operational functions in a fast-paced construction environment. Must be fluent in Spanish and English.

Essential Duties & Responsibilities:

  • Coordinate new hire onboarding, including applications, orientations, I-9s, background checks, drug screens, and benefits enrollment.
  • Support employees with benefits and office-related questions.
  • Process personnel action forms (PAFs), maintain employee records, and upload documentation into Plexxis.
  • Support Superintendents, Project Managers, and branch leadership with reports, production meetings, and administrative tasks.
  • Process and maintain project documentation, including contracts, Certificates of Insurance (COIs), project-specific compliance requirements, licenses, and supporting contract documentation.
  • Answer phones, greet visitors, and provide excellent customer service.
  • Process office expense reports, PTO logs, mileage logs, shipping, mail, and office supply orders.
  • Maintain safety certifications, training records, and branch inventory, including uniforms.
  • Subcontractor document and compliance and Distribute subcontractor checks and lien waivers, including notarization when required.
  • Provide basic IT support for branch employees and serve as the liaison with the Corporate IT team.
  • Coordinate branch meetings, events, and other office activities.
  • Perform other duties as assigned.

Qualifications:

  • Bilingual in Spanish & English required
  • 3+ years of administrative, employee relations, or office management experience, preferably in the construction industry.
  • Strong organizational, communication, and multitasking skills.
  • Proficiency with Microsoft Suite
  • Experience with Apple products – set up and utilize iPads, help office staff with iPhone issues
  • Ability to maintain confidentiality and manage multiple priorities in a fast-paced environment.
  • Detail-oriented with excellent customer service skills.
