What is bookkeeping?

Bookkeeping is the process of recording, organizing, and maintaining the financial transactions of a business or organization. Bookkeepers track all income and expenses, ensure that financial records are accurate, and help prepare financial statements. This information is essential for business owners and accountants to make informed decisions, manage cash flow, and meet tax and regulatory requirements. Bookkeeping can be done manually or with accounting software, depending on the size and needs of the business.

What are the key skills and qualifications needed to thrive as a bookkeeper, and why are they important?

To thrive as a Bookkeeper, you need a solid understanding of accounting principles, attention to detail, and a background in finance or business, often supported by a certificate or associate degree in bookkeeping or accounting. Familiarity with accounting software such as QuickBooks, Xero, or Sage, and proficiency in spreadsheets are commonly required. Strong organizational skills, integrity, and effective communication set top bookkeepers apart. These skills ensure accurate financial recordkeeping, regulatory compliance, and smooth financial operations for businesses.

What are some common challenges bookkeepers face when managing financial records for multiple clients or departments?

Bookkeepers often juggle multiple sets of financial records, which can be challenging due to varying client or departmental needs, different accounting systems, and tight reporting deadlines. Staying organized and detail-oriented is crucial to avoid errors and ensure accurate financial data. Additionally, bookkeepers must regularly communicate with clients or team members to clarify transactions and resolve discrepancies, making strong interpersonal and time-management skills essential for success in this role.

Job description

About Us

Flex Spas operates four men's bathhouses serving an adult gay clientele. We've been part of this community for more than 60 years, and we're proud of what we do and who we do it for.

This position is at our Palm City corporate office and isn't customer-facing,.

About the Role

We're hiring a Bookkeeping Assistant to support our accounting team with accounts payable, expense reports, and records management. The work is steady: invoices in, expenses coded, vendors paid, files where they belong.

Filing, vendor calls, and anything paper-based go faster in person, so we'd want you in the Palm City office several days a week, with possible options to work some days from home. That does mean we're looking at candidates within commuting distance such as: Stuart, Jensen Beach, Hobe Sound, Port St. Lucie, and the surrounding Martin County area.

What You'll Do

  • Enter accounts payable invoices accurately and on schedule
  • Speak with vendors by phone and email about invoices, payment status, and account questions
  • Research and resolve billing discrepancies, short payments, and duplicate charges
  • Process employee expense reports and verify receipts and coding
  • Organize, file, and maintain physical and digital records
  • Match invoices to purchase orders and packing slips
  • Support the accounting team with month-end tasks and general office duties

What We're Looking For

  • 1+ years of bookkeeping, AP, or accounting support experience, or a relevant degree/certificate
  • Comfortable picking up the phone. A good share of this job is vendor conversations, and we need someone who can hold a friendly, professional call and get to an answer
  • Accurate data entry and real attention to detail
  • Solid Excel skills
  • Organized, able to keep several things moving at once
  • Reliable, punctual, and within commuting distance of Palm City

Nice to Have

  • Hands-on experience with QuickBooks, which is what we run our books on
  • Familiarity with Expensify or a comparable expense platform
  • Working knowledge of Microsoft 365: Excel, Outlook, Word, SharePoint/OneDrive
  • Prior work in a small-to-midsize corporate office

Working Here

We're a gay business, and our office reflects that. Our customers are gay men; our staff is a wider mix. Queer and trans applicants are genuinely welcome here. Not tolerated, welcome. So is anyone else who's glad to work somewhere like this.

What we ask of everyone on the team:

  • Treat customers, vendors, and coworkers with respect regardless of sexual orientation or gender identity
  • Handle sensitive customer and financial information with strict confidentiality and without judgment
  • Follow our anti-harassment and non-discrimination policies, which cover conduct toward customers and staff alike
  • Represent the company professionally with vendors and third parties

These are conditions of employment, not preferences.

What We Offer

  • Health insurance
  • Flexible hours
  • A small team that likes each other and a workload that stays reasonable
