Job description

Chico Roofing Company and Chico Solar Works are locally owned companies proudly serving Northern California. We specialize in residential and commercial roofing, solar installation, solar service, repairs, and maintenance. We take pride in providing honest service, quality workmanship, and exceptional customer care.

We're looking for an experienced, organized, and dependable Office Manager / Payroll Coordinator to become a key member of our team. This position is much more than answering phones—you'll play an important role in keeping the office running smoothly while supporting our customers, field crews, and management team.

We're looking for someone who wants to build a long-term career with our company. This position is an integral part of our team, and we're looking for someone who takes pride in staying organized, supporting others, and helping a local business succeed.


PRIMARY RESPONSIBILITIES

• Prepare and process the company's biweekly payroll by reviewing employee timecards, verifying hours, PTO, and other payroll information, ensuring payroll is completed accurately and on schedule, maintaining payroll records, and coordinating with management to resolve any discrepancies before payroll is finalized.

• Answer incoming phone calls, emails, and customer inquiries in a professional and friendly manner.

• Schedule roofing, solar, repair, and service appointments while coordinating with field crews and management.

• Prepare, organize, and maintain customer files, contracts, permits, warranties, invoices, and job documentation.

• Track job progress and ensure paperwork, inspections, and customer follow-ups are completed.

• Prepare customer invoices, assist with accounts receivable, collect outstanding payments, and maintain accurate financial records.

• Coordinate permit applications, inspections, and communication with building departments, utility companies, suppliers, and vendors.

• Maintain organized digital and physical filing systems.

• Assist with onboarding new employees, maintaining employee records, PTO tracking, and general office administration.

• Maintain employee certifications, training records, licensing documentation, and compliance paperwork.

• Identify office inefficiencies and recommend improvements to workflows and procedures.

• Support management with day-to-day operations and special projects.

• Handle confidential company, employee, and customer information with professionalism and discretion.


QUALIFICATIONS REQUIRED

• Minimum of three (3) years of office management, operations, project coordination, or administrative leadership experience.

• Excellent organizational and time-management skills.

• Strong written and verbal communication skills.

• Proficiency with Microsoft Outlook, Word, Excel, and general computer software.

• Ability to prioritize multiple tasks while meeting deadlines.

• Strong attention to detail.

• Reliable attendance and dependable work ethic.

Preferred

• Experience working in roofing, solar, construction, HVAC, plumbing, electrical, restoration, or another service-based business.

• Experience processing payroll.

• Experience with QuickBooks or similar accounting software.

• Experience using scheduling software, CRM systems, or project management software.

• Experience coordinating permits, inspections, and customer service.
