Voices for Georgia's Children (Voices) is the leading comprehensive child policy and advocacy organization in the state. Voices is an independent, non-partisan, information hub and coalition builder. We promote pragmatic policies that recognize children's needs are interconnected and best met holistically. Voices champions the "whole child" approach and is leading a movement of public and private stakeholders to advance systemic change on behalf of Georgia's children.
We achieve our influence through advocacy with elected and appointed officials and through extensive collaboration and engagement of local, state, and national organizations. We partner with academic and community organizations with deep knowledge of key children's issues to ensure a research-base to our policy agenda. We convene leadership teams of organizations with common objectives for collective advocacy; and we engage and educate a broad network of individuals and organizations to encourage a community culture that gives priority to children. Through traditional and social media, we educate and encourage the larger community to support the needs of children.
Job Summary
The Bookkeeper/Contracts Management Specialist will manage day-to-day accounting needs for the organization and contract creation, review, and execution. This role will be responsible for ensuring highly accurate and timely recording of transactions in QuickBooks Online to support financials statement generation and grants management. In addition to routine bookkeeping, this role will monitor all active contracts with funders, consultants, and vendors including vendor onboarding.
Job Responsibilities
  1. Accounting/Bookkeeping
    1. Manage AP/AR functions for the organization by performing routine bookkeeping functions using QuickBooks Online (QBO) to include, but not limited to:
      1. Recording income and expenses including accurate coding for expenses, invoices, and donations from all sources
      2. Managing grantee disbursements
      3. Reconciling credit card statements
      4. Generating AR invoices to ensure timely receipt of grant funds
      5. Ensuring the proper recording of online donations
      6. Managing month-end close

b. Maintain financial records in accordance with financial policy
c. Generate financial reports from QBO as requested
2. Relationship Management
    1. Work in partnership for CPA and Grants Management Specialist on monthly financial statements and fund reporting

b. Serve as a key point of contact for external auditor
3. Contracts & Vendor Management
    1. Draft and facilitate the execution of contracts
    2. Manage vendor onboarding process
    3. Monitor and ensure accurate and timely contract draws
    4. Generate Form 1099s annually.
    5. Serve as an accounting point of contact for contractors, vendors, and consultants.

4. Other duties as assigned
Education
Bachelor's degree in accounting, management, business, or a similar field is required. High quality, relevant experience may substitute for some of the educational requirement.
Qualifications
  • Minimum three years of experience in bookkeeping for a nonprofit organization, and an understanding of vendor, consultant, and funder contracts.
  • Knowledge of GAAP accounting and high proficiency in QuickBooks Online or similar accounting application is required
  • Advanced knowledge of Microsoft Office Suite, especially Excel. Experience using Adobe Acrobat to edit forms and documents
  • Ability to communicate effectively and collegially, both verbally and in writing
