Job Summary:

Supports administration of the lease portfolio and other real property related matters overseen by the VUMC Office of Real Estate. Supports processing of incoming checks; document control for review; and processing up until execution and then distribution. Processes service agreement invoices for payment. Supports and/or takes point on full-time lease renewals and/or sublease needs. Supports property management resolution with third-party property owners which can require travel to the site.

Department Summary

VUMC Real Estate is the central point of contact (both internally and externally) for access to VUMC organizational expertise in leasing, acquisition of property, sale of property, and oversight of third-party landlord property management for VUMC and affiliated entity leased properties. Included in this effort, VUMC Real Estate is also responsible for setting up rent payment and review of annual reconciliations for all portfolio leases.

Minimum and Preferred Qualifications

  • Bachelor's Degree and 3 years of relevant work experience (5 years of experience is preferred) which must include negotiation of commercial leases.

  • A knowledge of real estate is preferred.

  • With the above requirement, an understanding of lease structure including common economic components of leases is a requirement.

Key Responsibilities

  • Sets up rent for new and/or renewed full-time leases as well as part-time leases

  • Research and responds to rent questions (both internally and externally)

  • Assists with resolving property management issues

  • Implements and maintain various tracking tools for the office

  • Sets up and processes service agreements

  • Performs the centralized responsibility for transaction management which includes but is not limited to generating trackers and prioritization schedules for moving documents through internal review; signature; and distribution

  • Participates in generating all documentation needed to close out files; and cooperates with other team members in the organizational system for storing such documents (both electronic and copy)

  • Must be prepared to travel by car to conduct property tours and site follow-up, as needed, for property management matters as this position will support all of the Vanderbilt Health related matters in the field

Real Estate Contracts (Advanced): The preparation, monitoring and management of the contracting processes well as individual contracts. May include contract specifications, evaluation of bid proposals, and purchase requisitions.
Document Auditing (Intermediate): Auditing is conducting an independent review and examination of records and activities in order to test the adequacy and effectiveness of procedures, policies, standards, rules, capabilities and other aspects to ensure compliance with established policy and operational procedures, and to recommend any necessary changes.
Documentation (Advanced): Ensures that all documentation is complete, accurate, thorough, and compliant.
