Applicants must have at least 3 years of law firm billing and bookkeeping experience, be highly proficient in Microsoft Excel, and have hands-on experience with QuickBooks or similar accounting software.

Job Description

  • Prepare and issue invoices for legal fees and trust deposits.
  • Track incoming payments and reconcile financial records using QuickBooks and internal systems.
  • Monitor accounts receivable, follow up on outstanding invoices, and prepare billing reports.
  • Process refunds and credit memos accurately.
  • Organize incoming mail, distribute updates internally, and maintain case records.
  • Coordinate outgoing legal filings, shipping logistics, and delivery tracking.
  • Prepare FedEx labels and maintain filing and shipment logs.
  • Update case management systems with receipt notices and filing information.
  • Assist with new client onboarding by preparing engagement agreements and opening matters.
  • Maintain accurate records across multiple software platforms while managing recurring operational tasks.

Qualifications

  • 3+ years of law firm billing, bookkeeping, or legal operations experience.
  • 1+ year of immigration law experience strongly preferred.
  • Strong proficiency in Microsoft Excel.
  • Experience with QuickBooks or comparable accounting software.
  • Excellent organizational skills with exceptional attention to detail.
  • Ability to manage multiple recurring processes with accuracy.
  • Strong written communication skills.
  • Immigration law experience is a plus but not required.
