Job description

The Billing and Customer Service Representative supports broadcast advertising clients, internal sales teams, and finance operations by managing billing activities and providing exceptional customer service. This role is responsible for processing advertising invoices, resolving billing discrepancies, maintaining accurate account records, and assisting clients with questions related to broadcast schedules, contracts, and payments.

The ideal candidate is detail-oriented, organized, and capable of working in a fast-paced media environment with multiple deadlines and high client expectations.

Key Responsibilities

Billing & Accounts Support

  • Prepare, review, and process broadcast advertising invoices for television, radio, digital, or multimedia campaigns
  • Verify billing accuracy against advertising contracts, traffic logs, affidavits, and aired schedules
  • Process billing adjustments, credits, and account updates as needed
  • Investigate and resolve billing discrepancies related to commercial airings, make-goods, preemptions, and campaign changes
  • Support month-end billing activities and reporting processes
  • Maintain accurate billing documentation and records

Customer & Client Service

  • Serve as a point of contact for advertisers, agencies, and internal sales teams regarding billing and account inquiries
  • Respond promptly and professionally to customer questions via phone and email
  • Communicate effectively with Sales, Traffic, Programming, and Finance departments to resolve client issues
  • Provide clients with invoice copies, account statements, proof of performance, and payment information
  • Maintain positive client relationships through responsive and solution-focused service

Administrative & Operational Duties

  • Maintain accurate customer and advertiser records within billing and traffic systems
  • Ensure compliance with company policies, broadcast regulations, and financial procedures
  • Assist with contract documentation, data entry, and reporting tasks
  • Support process improvement initiatives to enhance billing accuracy and customer experience
  • Process credit card, ACH, and check refunds
  • Maintain confidentiality of financial and client information

Qualifications

  • High school diploma or equivalent required; associate or bachelor's degree preferred
  • 1-3 years of experience in billing, customer service, administrative support, or media operations preferred
  • Experience in broadcast, advertising, media, or telecommunications industries is a plus
  • Strong attention to detail and ability to manage multiple deadlines
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office, especially Excel and Outlook
  • Experience with broadcast traffic, billing, ERP, or CRM systems preferred

The hourly compensation range for this role is $19.03 to $22.39.ย Final compensation for this role will be determined by various factors such as a candidate's relevant work experience, skills, certifications, and geographic location. Full time positions are eligible for benefits that include participation in a retirement plan, life and disability insurance, health, dental and vision plans,ย flexible spending accounts, 15 paid vacation days, 2 paid personal days, 9 paid holidays, 40 hours of paid sick leave, parental leave, and employee stock purchase plan.
