Position Summary:
As the Bilingual Scheduler for The Healthcare Connection, you will communicate with patients skillfully and professionally by phone to schedule appointments accurately and provide information about THCC services, processes, and initiatives. You will serve as the point of contact to assist internal and external callers with appointment-related questions and route calls to other departments or individuals as appropriate.
Key Responsibilities:
  • Schedule appointments for patients.
  • Courteously screen callers to obtain accurate demographic information and reason for visit. Follow THCC’s scheduling guidelines to enter information into the practice management system correctly.
  • Respond to general inquiries and provide patient education on organizational policies related to appointments, including: documentation required at time of visit, POI and payment guidelines, late policy, and importance of cancelling appointments.
  • View system Alerts and remind existing patients to bring POI, if expired.
  • Inform patient of any existing balance noted in system and request patient be prepared for any payment due at time of visit.
  • Provide reminder calls to patients, when possible.
  • Reschedule patients when necessary.
  • Understand tasking process and route patient inquiries to appropriate department to address clinical inquiries.
  • Send appointment reminders and immunization data to patients as requested.
  • Maintain a clean, safe work environment by adhering to THCC policies on safety and security. Safeguard computer passwords and facility badges.
  • Other reasonably related duties as assigned by immediate supervisor and other management as required.
  • For bi-lingual schedulers: Well developed verbal and written communication skills in Spanish.
Qualifications:
  • Bilingual in Spanish and English
  • 2 (or more) years customer service experience, preferably in a medical office setting
  • Prior experience as a Medical Office Assistant desirable
  • Good verbal communication skills
  • Well developed verbal and written communication skills
  • Knowledge of medical terminology preferred
  • Experience using NextGen or similar EPM software helpful
  • Basic to intermediate computer knowledge and skills
  • Training and/or experience with computer data entry
  • Associate degree or graduation from a Medical Office Administration program highly preferred
