Job description

Primary focus is on managing reenrollment and enrollment for the school, and on leading the school's effort to implement an online enrollment management system. The Enrollment Director is responsible for all reenrollment, enrollment, and enrollment-system management activities. This position reports to the school Principal, and is supported by existing staff, Big Shoulders Fund, and ongoing professional development opportunities. Additionally, the school community will be a source of volunteer assistance in carrying out specific tasks associated with enrollment. Specific job responsibilities include but are not limited to:

Reenrollment and Enrollment Management

  • Manages the reenrollment process for currently enrolled families, including timelines, communications, and collection of required documentation

  • Actively participates in BSF enrollment-related professional development

    • Actively participates in all monthly school support meetings

    • Works with the principal to track reenrollment progress against goals and follow up with families as needed

  • Manages the enrollment process for newly admitted students, including registration, required documentation, and data entry

    • Provides timely updates regarding the status of reenrolling and newly enrolling families

  • Maintains accurate and up-to-date enrollment and reenrollment records

Online Enrollment Management System Implementation

  • Leads the school's effort to implement an online enrollment management system, serving as the primary project lead

  • Coordinates implementation timelines and requirements with the system vendor, school administration, and Big Shoulders Fund

  • Trains and supports school staff and families on use of the system

  • Once live, serves as the school's primary administrator for the system, managing enrollment and reenrollment records within it

  • Ensures data integrity within the system, including timely entry, updates, and corrections

  • Generates enrollment and reenrollment reports from the system upon request

  • Troubleshoots system issues and serves as a liaison with the vendor/support team as needed

Communication/Staff Relations

  • Provides enrollment and reenrollment status reports to key stakeholders

  • Holds regular check-in meetings with principal and assigned Big Shoulders Fund enrollment point people in addition to school support meetings

  • Meets with school staff to coordinate reenrollment and enrollment timelines and processes

  • Provides general office support as needed, including answering phones and assisting with other administrative/office tasks

Please note that this job may occasionally include hours outside of the traditional workday, including evening and weekend commitments.

Monthly School Support Meeting Updates Should Include:

  • Overall enrollment and reenrollment (new and returning)

  • Notes on any changes/trends

  • Data on where transferring students went and reasons for move

  • Progress towards reenrollment and enrollment goals/deadlines

  • Update on the online enrollment management system implementation, including timeline and milestones

  • System updates, including data quality and any issues, once live

  • Review of previous school support meeting highlights with BSF team

 Other duties as assigned.
