Job Description:

Position Summary

TheProposal & Bid Coordinatorplays a vital role in identifying, organizing, and supporting government contracting opportunities that drive revenue growth for thePestmasterfranchise network. Working closely with the Contracts Manager, internal stakeholders, and franchise owners, this role coordinates the bid and proposal process from opportunity identification through final submission. The ideal candidate is exceptionally organized, detail-oriented, and skilled at tracking deadlines while ensuring full compliance with solicitation requirements. This position is ideal for a proactive administrative or project coordinator looking to build specialized experience in government procurement and proposal management.

Essential Duties & Responsibilities

Government Opportunity Tracking

  • Monitor federal, state, and local procurement websites and bid platforms (e.g., SAM.gov) to identify government contracting opportunities.
  • Perform initial reviews of solicitations, RFPs, and IFBs to assess feasibility and gather required criteria.
  • Track project specifications and coordinate internal review with operational teams.
  • Maintain an organized pipeline of active opportunities and provide regular status updates.

Proposal & Bid Support

  • Assemble, organize, and format complete bid packages and proposal responses.
  • Draft standard response documents, certifications, representation forms, and supporting attachments.
  • Ensure all submission materials meet explicit solicitation guidelines and deadlines.
  • Maintain proposal templates, standard boilerplate content, and reference files.

Contract & Administrative Support

  • Provide administrative support to franchisees throughout the bidding process.
  • Archive past bid submissions and maintain outcome tracking for future reference.

Team Collaboration

  • Work cross-functionally with Operations, Franchise Support, and Field Operations to gather necessary proposal details.
  • Assist with drafting routine questions or clarification requests to government contracting officers.
  • Deliver friendly, responsive customer service to franchise owners and internal teams.

Qualifications

Required

  • Strong proficiency in Microsoft Office (Excel, Word, Outlook, and PowerPoint)
  • Outstanding organizational skills and rigorous attention to detail.
  • Proven ability to track and meet strict deadlines.
  • Strong written and verbal communication skills.
  • Ability to work independently in a fully remote environment.

Wage Range: $20 - $25 an hour
