Job description

The Development Coordinator will be a full-time, non-exempt employee. The Development Coordinator will directly report to and will work closely with the Executive Director and Development & PR Manager as part of the Development and Communications team at Education Through Music-Los Angeles. The Development Coordinator will help further the mission by helping to manage and steward ETM-LA's base of charitable contributors - including institutional funders, foundations, government, corporations, and individual donors; they will provide the caring cultivation and management of grants/institutional giving to ensure every child, regardless of socio-economic status, receives quality music education in order to reach their fullest potential.
Institutional Giving (Foundations, Government, Corporate) (60%)
  • Research grant funding sources, support the writing of Letters of Inquiry (LOI) and grants, and help manage deadlines of all institutional giving.
  • Maintain and update master grants list on a regular basis.
  • Prepare and coordinate sending 4-8 LOIs per month.
  • Assist with generating on average 4-8 proposals per month.
  • Assist day-to-day communication with program staff in order to prepare accurate proposals, reports, and newsletters.
  • Work closely with the Development & PR Manager and other departments to prepare grant reports for timely submission.
  • Work closely with Development & PR Manager & Executive Director on identifying type of grant request/components.
  • Work closely with Development & PR Manager to establish effective grants communications.
  • Prepare bi-monthly grant reports.
  • Assist the Development Department on budgets for proposals.
  • Track all grants, gifts, and maintain donor correspondence in Salesforce database.
  • Prepare and send tax acknowledgement thank you letters to institutions/foundations/government.
  • Correspond with foundation, government, and corporate offices to schedule site visits and submit proposals.
  • Assist the Development Department with updates to handbook, processes, flow of information, key deadlines, and department calendar.
  • Assist with identifying, creating, and delivering customized assets for prospective and current partners (corp, foundations, et al.)
  • Other duties as assigned.

Individual Giving (25%)
  • Assist the Development & PR Manager with individual donor reports, including a yearly comprehensive analysis of donor trends, and updating dashboards in Salesforce database.
  • Engage and help steward the Associates Board (junior board) on their annual giving and fund development plans.
  • Improve systems for tracking donations and donor information.
  • Coordinate appeal mailings and communicate across departments (administrative, communications).
  • Track all gifts and maintain donor correspondence in Salesforce database.
  • Prepare and send tax acknowledgement thank you letters and year-end summaries to individual donors.
  • Coordinate and schedule individual donor visits and prepare materials to request for support.
  • Support the coordination of student thank you cards to individual donors.
  • Assist with the preparation of wishlist donation amounts to be published in communications materials.
  • Manage donations and donation reports through third-party partners including GlobalGiving, Benevity, and other platforms (i.e. social media).
  • Prepare donor lists for communications.
  • Other duties as assigned.

Communications & Events (15%)
  • Assist with gathering key funding and development call to action content for print materials and ETM-LA's Newsletter.
  • Assist Communications Department with gathering spotlight stories for appeal letters.
  • Work closely with the Communications and the Development Department to assist with assembly of key materials for paper and digital press kits.
  • Attend events and interface with community members (i.e. donors, parents, government officials, teachers, principals).
  • Provide support for fundraising events including: assisting with guest check-in, assisting with managing tickets and guest lists, preparing ETM-LA's event table, building relevant materials to cater to the specific event/branding, assisting with materials for silent auctions and raffles, and assisting with event correspondence.
  • Gather and utilize assessments, data, and community feedback for grants and in marketing materials.
  • Assist with the preparation of donor lists and provide funder content/logos to be updated to ETM-LA's/other published communication materials.
  • Provide support for fundraising events.
  • Assist with sponsor outreach and preparing sponsorship letters for events.
  • Coordinate and oversee projects/tasks with volunteers as needed.
  • Other duties as assigned.

QUALIFICATIONS
Education and Experience:
  • Bachelor's Degree in Public Relations, Marketing, English, Sociology, Data Management, Writing, or related field. 2 years of experience required; up to 2 years of the required education may be substituted for additional years of experience.
  • Specialized knowledge or experience in grant writing, fund development/fundraising, government, operations, school districts, non-profit and arts sector.
  • Nonprofit experience is desired.

Knowledge, Skills and Abilities:
  • Excellent written and verbal communication skills.
  • Possess strong interpersonal skills.
  • Superior organizational skills.
  • Ability to conduct research online, to meet deadlines, to write and edit in response to guidelines and feedback, as well as to write and edit independently.
  • Expertise in database management and using office software such as Microsoft Word, Microsoft Excel, and Google Suite; ability to learn new software such as GiveSmart and WordPress publishing. Experience with Salesforce database preferred.
  • Ability to thrive in a fast-paced, small to mid-sized organization as part of a collaborative environment.

Working Conditions:
Office environment with possible travel each quarter to partner schools or clients located throughout Los Angeles County. Occasional travel outside Los Angeles may be required. Must have reliable transportation to and from work; occasional errands for working duties may be assigned. Mileage will be reimbursed by ETM-LA.
Pay and Work Schedule:
  • $24.04-$29.00/hr., dependent upon qualifications. Full-Time; 40 hours per week; Monday through Friday, with occasional over-time required for special events. This is an hourly, non-exempt position.
