Job description

Eligibility Clerical (Phoenix, AZ)
Summary
The Eligibility Clerical provides support to the department Coordinators, Supervisors and Manager to accomplish various routine and special projects.
  • Maintain and organize departmental supplies and filing.
  • Special mailings and records review.
  • Performs a variety of clerical duties assisting with posting payments, special mailings, and record review.
  • Process Qualified Medical Child Support Orders (QMCSO).
  • Assist with member walk-ins.

Essential Duties and Responsibilities include but not limited to
  • Run various reports/metrics
  • Completes QMCSO
  • Filing, scanning all enrollment material received (MC, BC, HIPAA, beneficiary cards, PHI notes in system and file)
  • Purges files at end of year based on Plan year audits
  • Miscellaneous work to include special projects (i.e. vital mailings, dependent audits, retiree audits)
  • Creates PDF NMP for all Funds
  • Sends out NMP monthly for each Fund
  • Sends out Medicare packets and notes system once Coordinator reviews letters and approves
  • Assemble ME letters and monthly correspondence on smaller funds for Coordinators
  • Manual COBRA mailings (prepare letters for certified mail)
  • Sorts and distributes mail for Eligibility department daily
  • Deliver incoming faxes
  • Pulls daily shredding from Coordinators baskets on desks to ensure HIPAA compliance
  • Review of all cards ordered prior to mailing out to ensure accuracy
  • Processing SUB and entering self pays
  • Record minutes for Eligibility meetings
  • Seasonally decorate the Eligibility department
  • Regular and predictable attendance is an essential function of this job

Qualifications - Excellent customer service skills are a must. Proficient in the use of Word, Outlook and Excel. Good organizational skills.
Education and/or Experience - High School diploma or GED and at least one year of experience with multiple line switchboard is necessary.
Language Skills - Good oral and written communication skills.
Mathematical Skills - General math skills.
Reasoning Skills - Ability to apply common sense to carry out detailed written or verbal instructions.
Work Environment
Must be able to sit for up to eight hours each day answering incoming calls and preparing various correspondence using a variety of office equipment. Must be able to stand for one-to-three-hour intervals while completing filing tasks, organizing department fulfillment center, standing at copy machines to make packages. Must be able to move to different workstations as position needs warrant. Occasional lifting of paperwork, eligibility packages, Summary Plan Description boxes.
Fast-paced department. Most work is done independently. Must be able to multi-task. Must be detail oriented. May have to manage several projects at one time and may be interrupted frequently to meet the needs and requests of multiple clients. The environment is busy, noisy and requires excellent organizational, time, and stress-management skills to complete the required tasks.
Work Schedule - Full time. Monday - Friday, 8:00am - 5:00pm. Required in office (no at-home days).
