Job description

Staffing Coordinator

The Staffing Coordinator carries out various functions in making sure that caregivers (PCA, CNA, LPN, RN), tasked with the provision of care, are scheduled to work the hours authorized by the physician and payer. They work along with the Nursing Supervisor to make sure that clients' staffing needs are met appropriately and adequately. The Staffing Coordinator plays a pivotal role in ensuring the seamless and efficient delivery of care by a dedicated team of caregivers. This team typically includes Personal Care Assistants (PCAs), Certified Nursing Assistants (CNAs), Licensed Practical Nurses (LPNs), and/or Registered Nurses (RNs).

Essential Duties & Functions

  • Optimizes caregiver efficiency by scheduling and assigning support staff to clients, taking into account their individual skills, certifications, and availability. Ensures that each caregiver can perform their duties effectively and to the best of their ability.
  • Manages scheduling assignments to ensure that clients receive appropriate and sufficient care tailored to their specific requirements. Collaborates with the Nurse Supervisor in understanding each client's medical needs, personal preferences, and the level of assistance that they require.
  • Ensures accurate and timely overhead and administrative procedures are maintained by verifying that each nursing or caregiver session has been correctly entered in the electronic health record to process payroll and complete billing cycles according to company timelines.
  • Serves as a "central hub" for communication between caregivers, clients and their families, and other stakeholders such as Nurse Supervisors, the Operations Administrator, Director of Nursing, and/or Program Director. Disseminates crucial information, handles schedule changes, and addresses any other related immediate concerns or issues that may arise.
  • Maintains compliance standards by ensuring that all staffing practices adhere to regulatory guidelines, company policies, and professional standards. Maintains awareness of training requirements, and ensures that documentation has been completed for each session.
  • Resolves unexpected challenges, such as last-minute call-outs, changes in client condition, or unforeseen logistical hurdles. Identifies scheduling or programming solutions as needed to maintain continuous and uninterrupted care.

Education and Experience Requirements

  • A high school diploma at least two (2) years of related work experience is required.
  • Experience working with the Google productivity suite or equivalent software is required; familiarity with electronic scheduling systems is highly preferred.
  • The ability to communicate clearly, concisely, and effectively is necessary; this extends across all modalities, including in-person interactions, telephone conversations, email correspondence, and text messaging.
  • Ability to multi-task, set priorities, meet assigned deadlines, and handle a diverse set of work responsibilities concurrently is expected.
  • Attention to detail, along with strong coordination and analytical skills are needed to drive outcomes and meet operational goals.
  • Competence in writing, planning, organization and documentation, as well as time management skills are required.
  • Physical Requirements & Working Conditions

    • Regularly required to sit; occasionally required to bend, stoop, and kneel; regularly required to stand and walk.
    • Regularly required to use hands to type, grasp, handle, or feel; reach, push or pull with hands and arms; and talk or hear.
    • Specific vision abilities required include close vision, color vision, and ability to adjust focus.
    • Collage has determined that all staff are at risk for exposure to potentially infectious materials based on the duties entailed in working with clients or in an office setting.
