Description
The Sales Operations Administrator serves as the central point of coordination for customer opportunities moving through the front end of the Power Solutions sales process. This role is responsible for keeping lead activity organized, customer communication consistent, and opportunity records complete so each step moves forward with clarity and follow-through. Working primarily in our CRM, they help ensure no lead is overlooked, no customer is left without direction, and no opportunity advances without the information required for the next stage.
Core Responsibilities
  • Manage incoming Power Solutions sales inquiries and ensure every lead is entered into CRM with complete, accurate information
  • Maintain opportunity records, stages, notes, activities, and customer communication so pipeline data remains current and reliable
  • Oversee automated text and email workflows, respond directly when follow-up requires human outreach, and identify leads needing immediate attention
  • Follow the established intake and qualification process to understand customer needs, document project details, and schedule qualified site assessments with the appropriate representative
  • Confirm appointment details, provide pre-appointment information, and support efforts to reduce cancellations and no-shows
  • Prepare customer and opportunity records before appointments so the sales team has the information needed for effective consultations
  • Support the sales team's use of CRM for proposal preparation and customer presentation workflows
  • Maintain approved financing resources, share financing information appropriately, and connect customers with the right internal resources when needed
  • Conduct post-appointment communication, maintain structured follow-up on open proposals, and surface stalled opportunities to the Sales & Marketing Lead
  • Verify that required sales information is complete before an opportunity transitions into post-sale coordination, returning incomplete items to the appropriate owner for correction
  • Help create a consistent handoff from Sales to Sales Coordination by confirming proposal documentation, selections, site information, and project details are present

  • Strong process discipline with the ability to follow defined workflows and maintain consistency across repeated tasks
  • Clear, professional communication skills for customer conversations, scheduling coordination, and internal follow-up
  • Ability to manage multiple active opportunities while maintaining accuracy, documentation quality, and timely response
  • Comfort working in a structured CRM environment with sustained attention to detail and data integrity
  • Confidence identifying missing information and following through until the appropriate owner completes it
  • Ability to balance steady administrative coordination with changing daily priorities

Other Requirements
  • Experience in sales support, customer coordination, administrative operations, or a related role
  • Comfort learning and working extensively in CRM systems such as MyGenPlan
  • Ability to work within established processes and support a fast-moving sales environment

Salary Description
$26.44/hr - $31.25/hr depending upon experience
