Job description
The Program Coordinator provides essential administrative and logistical support to the Dental Hygiene and Dental Therapy programs. This position plays a key role in the recruitment and application processes for both programs and provides ongoing support to the faculty and students engaged in the programs.
In-person: Four days in office and one day remote.
Responsibilities include, but are not limited to:
Program Operational Management (40%)
- Updates curriculum documentation, course sequencing, program content and website updates
- Creates, coordinates and maintains programs schedules to align with syllabi, course directors lecture schedule and course nuisances such as splitting students into small groups, obtaining classrooms and ordering textbooks.
- Manages and monitor semester schedules for DT/DH courses
- Manages AxiUm data regarding patient appointments and clinic encounters
- Creates and maintain the program handbooks
- Enters student grades
- Provides course support for all DH/DT courses including, rolling over courses in CANVAS and HelioCampus, uploading syllabi, updating dates on existing courses, uploading recordings, creating/uploading exams, assisting with student accommodations, scheduling meetings between faculty and students, preparing or collecting class materials

Coordinates guest speaker logistics including payment, travel, accommodations, etc.
Student Coordination & Support (40%)
- Manage student recruitment activities for DH and DT programs:
- Monitors application activity; responds to inquiries from perspective students
- Provides administrative support for the Dental Therapy/Dental Hygiene admissions committee
- Coordinates interview day logistics
- Coordinates New Student Orientation and Fall/Spring Faculty Orientations
- Facilitates the MSDH graduate program student admissions and acceptance process
- Monitors student academic progress, completion of clinical competencies and other educational requirements, facilitate student exams, and evaluations
- Manages student clinical outreach experiences with external organizations

Plans and executes special events, including graduation support
Administrative Support (20%)
- Assists with the preparation for and the implementation of clinical board exams, including registration and collection of payments
- Plans and coordinates site visits from visiting schools and organizations
- Oversees finance activities: identify vendors, create purchase orders, manage responsible spending, review invoices for accuracy and submit for payment
- Other duties as assigned
Required Qualifications:
- A Bachelors degree, or a combination of related education and work experience to equal four years
- Demonstrated proficiency in Microsoft Office Suite, spreadsheets, presentation software and Google Applications
- Experience providing administrative support to executive level professionals
- Ability to manage deadlines and competing priorities
- Exceptional customer service skills
