Job description

Randall Reed's Planet Ford in Humble is seeking experienced, detail-oriented and organized Automotive Warranty/Service Administrator to join our dynamic service department. The Service Warranty Administrator is responsible for coordinating, preparing, and submitting manufacturer warranty claims as well as account reconciliation, managing receivables and reporting. This role requires strong organizational skills, attention to detail, and the ability to work closely with service advisors, technicians, and the manufacturer to ensure timely reimbursement.

 Responsibilities:

  • Accurately process and administrate warranty claims in compliance with manufacturer and dealership policies.
  • Verify repair orders for proper completion, accuracy, and compliance with manufacturer guidelines.
  • Generate and manage Purchase Orders (POs) related to service and parts invoices.Maintain accurate and organized records for all warranty and service-related documentation.
  • Communicate with service advisors and technicians to resolve claim issues.
  • Monitor claim status and follow up with manufacturers to ensure timely payment.
  • Stay current with manufacturer policies, procedures, and warranty bulletins.
  • Assist with internal warranty audits and compliance checks.
  • Provide occasional cashiering support, including handling customer payments and balancing receipts.
  • Account reconciliation and managing outstanding invoices, keeping schedules clean.
  • Support the service department with various administrative tasks as needed.

 What we're looking for:

  • Previous experience as a Warranty Administrator or in an automotive service office role preferred.
  • Previous experience in automotive accounting, receivables and cleaning schedules.
  • Knowledge of Ford manufacturer warranty policies and dealership service operations.
  • Strong organizational skills with high attention to detail.
  • Proficient in dealership management software (Reynolds) and Microsoft Office Suite.
  • Excellent communication and problem-solving skills.
  • Ability to multitask and work in a fast-paced environment.
  • Applicants must have a valid driver's license and must complete the pre-employment screening.
