POSITION: Middle School Athletic Director

LOCATION: Green Bank Elementary Middle School 

CLASSIFICATION: Extra-Duty Assignment

REPORTS TO: Head Principal and/or Athletic Director

EVALUATION: Evaluations conducted as defined in West Virginia Board of Education Policy PCBOE.

FLSA STATUS: Exempt

SALARY: $2400.00

JOB DESCRIPTION 
The Middle School Athletic Director is responsible for providing leadership, organization, supervision, and oversight of the school's interscholastic athletic programs. Under the direction of the Principal, the Athletic Director coordinates athletic activities; supports coaches, student-athletes, and families; ensures compliance with West Virginia Secondary School Activities Commission (WVSSAC) regulations and county policies; and promotes a safe, positive, and educational athletic environment. 

The Athletic Director serves as the primary liaison among the school, coaches, student-athletes, parents, community members, and the WVSSAC. The Athletic Director is responsible for coordinating athletic schedules, facilities, transportation, budgets, eligibility requirements, event operations, and extracurricular activities in support of the educational mission of Pocahontas County Schools. 

The Athletic Director is expected to provide visionary leadership for the continued development and expansion of middle school athletic opportunities, with the goal of increasing student participation, enhancing student experiences, and strengthening athletic programs across Pocahontas County Schools.

Athletic Directors assigned to the county's middle schools shall collaborate in the planning, coordination, and administration of countywide middle school athletic activities, including middle school football contests, schedules, and related events.

The Athletic Director performs duties consistent with the expectations of Pocahontas County Schools, WVSSAC regulations, West Virginia Board of Education policies, and Pocahontas County Board of Education policies.
 

QUALIFICATIONS

  • WV Professional Teaching Certificate
  • WV Administrative Certificate preferred but not required.
  • Regular Professional Pocahontas County Schools Employees Preferred
  • Criminal background check conducted pursuant to WV Code 18A-3-10.
  • Demonstrated knowledge of WVSSAC regulations, athletic administration, event management, and student-athlete eligibility requirements.

ADDITIONAL MINIMUM REQUIREMENTS

  • Applicants who have recent unsatisfactory evaluations will not be considered eligible for consideration.
  • Applicants who demonstrate unsatisfactory interview performance are not eligible for consideration.
  • Applicants who receive unfavorable reference recommendations will not be eligible for consideration.
  • Applicants who have been dismissed or who have had their contracts non-renewed for cause by another school district are not eligible for consideration.
     

ESSENTIAL DUTIES AND RESPONSIBILITIES

Program Leadership and Administration

  • Providing Leadership: Provides leadership and oversight for the school's athletic programs and works to promote student participation, achievement, sportsmanship, and school pride.
  • Coordinating Athletic Programs: Coordinates and administers all aspects of middle school athletic activities and extracurricular athletic programs.
  • Scheduling Activities: Develops athletic schedules in cooperation with school administrators, coaches, officials, and competing schools.
  • Planning Events: Organizes and supervises athletic contests, practices, tournaments, awards programs, banquets, and other athletic activities and special events.
  • Collaborating Across Schools: Collaborates with the other middle school Athletic Director in the planning, scheduling, and administration of countywide athletic programs, including middle school football.
  • Expanding Athletic Opportunities: Works collaboratively with school administrators, coaches, students, families, and community stakeholders to identify opportunities for growth and expansion of middle school athletic programs. Develops recommendations for new athletic opportunities, increased student participation, improved program offerings, and long-term program sustainability.
  • Serving as Liaison: Serves as the primary school liaison with the WVSSAC, athletic conferences, member schools, and community stakeholders. 
     

Middle School Football Coordination

  • Collaborative Leadership: Works cooperatively with the Athletic Director from the other middle school to coordinate and oversee the countywide middle school football program.
  • Program Administration: Assists in the planning, organization, scheduling, and administration of middle school football activities, practices, contests, and special events.
  • Schedule Coordination: Collaborates with coaches, school administrators, transportation staff, officials, and opposing schools to ensure efficient scheduling and operation of football contests.
  • Game Operations: Assists in coordinating game management responsibilities, including officials, security, medical coverage, event personnel, equipment needs, and facility readiness for football contests.
  • Program Development: Works collaboratively to evaluate and improve the middle school football program, identify growth opportunities, increase student participation, and promote a positive experience for student-athletes.
  • Communication: Communicates regularly with coaches, administrators, families, and community stakeholders regarding football schedules, program expectations, and operational matters.
  • Safety and Compliance: Assists in ensuring compliance with WVSSAC regulations, county policies, and established safety protocols related to middle school football participation and competition.
  • Countywide Collaboration: Works with school administrators and coaching staffs to promote consistency, cooperation, and long-term growth of the county's middle school football program.
     

Student-Athlete Support and Compliance

  • Monitoring Eligibility: Verifies and monitors student-athlete eligibility requirements in accordance with WVSSAC regulations and county policy.
  • Maintaining Documentation: Ensures completion and maintenance of required athletic participation forms, physical examinations, insurance documentation, eligibility records, and WVSSAC paperwork.
  • Promoting Student Success: Promotes sportsmanship, citizenship, leadership, academic achievement, and positive conduct among student-athletes.
  • Ensuring Compliance: Ensures compliance with all applicable federal, state, county, and WVSSAC requirements governing athletic programs.
  • Addressing Concerns: Assists in addressing student, parent, and community concerns related to athletic participation and activities.
     

Supervision and Support of Coaches

  • Supporting Coaches: Provides guidance, leadership, and support to coaching staff.
  • Supervising Coaches: Supervises coaching personnel to ensure compliance with WVSSAC regulations, board policies, and school procedures, and to promote safe and effective athletic programs.
  • Evaluating Coaches: Individuals holding a valid West Virginia Administrative Certificate may assist with or conduct evaluations of coaching personnel in accordance with county policy and under the direction of the Principal.
  • Ensuring Safe Practices: Monitors athletic programs to ensure safe practices, proper supervision, and compliance with established policies and procedures.
  • Staffing Programs: Assists the Principal with identifying coaching vacancies and making recommendations regarding coaching appointments.
  • Communicating Expectations: Conducts meetings with coaches as needed to communicate expectations, policy updates, procedures, and program goals.
     

Event Management and Operations

  • Managing Athletic Events: Coordinates game management activities and oversees home athletic contests and events.
  • Securing Personnel: Arranges for officials, security personnel, medical coverage, ticket workers, announcers, scorekeepers, timers, chain crews, and other event support personnel.
  • Overseeing Ticket Sales: Supervises ticket sales and event operations and ensures proper handling and accountability of athletic funds.
  • Coordinating Transportation: Arranges transportation for athletic teams and activities.
  • Communicating Changes: Communicates schedule changes, cancellations, postponements, and emergency information to affected parties in a timely manner.
  • Supervising Special Events: Assists with the administration of conference, sectional, regional, and WVSSAC-sponsored events as assigned.
  • Overseeing Concessions: Oversees concession stand operations for athletic events, including scheduling workers, maintaining appropriate inventory and supplies, ensuring proper food safety and cleanliness standards, and supporting efficient event operations.

Facilities, Equipment, and Safety

  • Managing Facilities: Coordinates the use of athletic facilities, fields, gymnasiums, and practice areas.
  • Promoting Safety: Monitors facilities and activities to ensure safe conditions for student-athletes, spectators, and staff.
  • Planning Improvements: Recommends facility improvements and coordinates maintenance requests and repairs.
  • Managing Equipment: Oversees inventory, storage, distribution, replacement, and care of athletic equipment and supplies.
  • Supporting Risk Management: Assists coaches in implementing safety procedures and risk management practices.
     

Budget and Financial Responsibilities

  • Managing Budgets: Assists with the preparation and administration of athletic budgets.
  • Purchasing Supplies: Oversees the requisition and purchasing of athletic supplies and equipment.
  • Monitoring Accounts: Monitors athletic accounts, expenditures, and fundraising activities in accordance with county procedures.
  • Managing Funds: Ensures proper handling, documentation, reporting, and accountability of athletic funds.
  • Supervising Concession Finances: Supervises concession stand financial operations, including inventory management, cash handling procedures, revenue reporting, deposits, and compliance with county financial procedures.
  • Supporting Fundraising: Collaborates with school personnel regarding fundraising activities that support athletic programs.
     

Communication and Community Relations

  • Building Relationships: Promotes positive relationships among students, families, staff, community members, and athletic stakeholders.
  • Communicating Information: Communicates athletic schedules, accomplishments, program information, and event details to students, parents, staff, media, and the community.
  • Promoting Community Engagement: Fosters positive school-community relations and promotes support for athletic programs.

Additional Duties and Responsibilities

  • Attending Events: Attends and supervises home athletic contests and other events as assigned.
  • Supporting Away Contests: Attends away contests as directed by the Principal.
  • Performing Assigned Responsibilities: Carries out other duties and responsibilities assigned by the Principal, Superintendent, or designee in support of the educational mission of Pocahontas County Schools.
